Food industry claims handling software development

Food producers and wholesalers receive claims from supermarkets, wholesalers and hospitality businesses: a shortfall on the delivery, damaged packaging, insufficient shelf life, a quality deviation or a price difference. Often the amount has already been withheld from the payment. Appfront builds software that records every claim with the evidence attached, recognises deductions on payments, and where possible passes them on to the supplier or carrier.

What is claims handling software for the food industry?

A claim in the food industry often starts with the customer. A distribution centre reports a shortfall on the pallet, a store finds damaged boxes, a product arrives with too little remaining shelf life, or the price on the invoice differs from the agreement. Sometimes the claim arrives as an email with photos, sometimes as a line on a portal, and sometimes only as a deduction on the payment, with no explanation.

At many companies, claims run through the sales support mailbox and a spreadsheet. Whoever assesses the claim has to track down the order, the delivery note, the batch, the temperature records and the agreements with the customer themselves. Claims that are justified get credited, but whatever can be recovered from the carrier or your own supplier is left unclaimed. And a deduction on a payment that is incorrect often goes unchallenged.

We build custom software because customers, agreements and processes differ from company to company. The software pulls orders, deliveries and batches from your ERP or WMS, puts claims and deductions in one place, and shows the assessor what is needed to make a decision. That way a claim becomes a dossier with an outcome, and you can see where claims come from.

How we build your claims handling software for the food industry

We start with last year's claims: from which customers, for what reasons, how they come in, and what is currently done by hand. Then we define which data from the ERP, the WMS and the financial administration is needed. We often start with registration and the integration with payments, because deductions without a claim cost the most money. Recovery from carriers and suppliers and reporting per cause follow after that. Afterwards we keep the software up to date as customers change their portals or agreements.

Why Appfront for your claims handling software in the food industry?

Claims stuck in a mailbox, and deductions from payments that nobody follows up, cost a food supplier margin that goes unseen. That is what we build on: every claim with its evidence, deductions that are recognised, and recovery wherever possible.

No scattered emails

Every claim in the work queue.

Deductions recognised

Payments next to claims.

Causes visible

Reporting per source.

Security and privacy for claims handling software in the food industry

The software processes data on orders, customers, price agreements and contact persons. Access is set up per role, price agreements are only visible to those who need them, and every decision on a claim is recorded along with who made it.

The software runs in a European data centre, with encrypted storage and daily backups. We document the processing in a data processing agreement.

Frequently asked questions about claims handling software for food companies

Questions that producers and wholesalers ask before getting started.

Anything for which a customer asks for money back or withholds payment: a shortfall in the delivery, damaged packaging, a product with too little remaining shelf life, a quality deviation, a late delivery or a price difference from the agreement. Costs that a customer passes on, such as for destroying a batch, can also be a claim.

The software matches received payments against open invoices. If less is paid than was invoiced, the difference appears as a deduction in the work queue, linked to the invoice and the customer. That way you can see which deductions belong to a claim and which do not.

Where does the software get its data from?

Yes. If the cause lies with the transport or with a supplied batch, the software creates a claim against the carrier or supplier with the file attached: the customer's claim, the evidence and the delivery details. This way, less gets left unresolved.

For each customer, you record the deadline by which a claim must be reported and answered. The software monitors those deadlines and warns you if a claim was submitted too late or a reply is still outstanding.

Check that first. Some ERP packages have a module for returns or credit notes. Custom software makes sense if claims arrive through many channels, if deductions from payments go unrecognised, or if you want to recover costs from carriers and suppliers with a complete file.

Insight into where claims come from: by customer, by product, by cause and by period. That way you can see whether a particular pack is damaged more often, whether a route causes more shortages, or whether a customer structurally deducts more than others.
