Building a communication app for frontline employees
Appfront builds custom apps for employees who do not have a desk, laptop or work email address: in healthcare, production, retail, logistics and construction. Messages reach the right location, shift or job group, schedules and documents are built in, and for important announcements you can see who has read and confirmed them. Get in touch to talk through your situation.
What is a frontline communication app?
A frontline communication app is aimed at the part of your workforce that falls outside the usual office tools. They often have no work email address, rarely log in to an intranet and don't read a newsletter. In practice, reach therefore relies on the noticeboard in the canteen, the team leader and a WhatsApp group that nobody manages.
This is a different problem from an intranet or an employee portal, which assume someone sitting behind a screen with an account. With frontline staff, it comes down to identification without an email address, to an app that is usable within seconds with gloves on, and to whether a mandatory announcement has actually arrived.
Appfront builds this as custom software and integrates it with your HR and rostering system, so that access, location and job group are right automatically without anyone maintaining user lists by hand.
Access without a work email address
Sign in with a staff number and a one-time code, or via an invitation from the team leader. Leaving employment automatically means access ends.
Targeted instead of sent to everyone
Messages go to a location, department, shift or job group, so people only receive what concerns them, which is the only way to stop the app being ignored.
Demonstrable reach
For mandatory communications such as safety instructions, you can see who has read and confirmed them, with a reminder for anyone who has not yet done so.
Frontline app or intranet? Where the line falls
Appfront builds both, and they look alike. The question that settles it is: does your target group have a workstation and a work email address?
No desk, no work email address
Care workers, production staff, shop assistants, drivers and construction workers. The app has to work on a personal phone, bend a little when offline and be useful within seconds. Reach and confirmation are at its core.
A workstation and an account
Office workers with a laptop and a business account. For those, see intranet development, employee portal or internal communications app.
Our development process for your frontline app
With frontline work, adoption is the whole project. That is why we design from the start with the people who will open the app in their own time, on their own phone.
We map out who the target group is, which devices they use, how information currently reaches them and which messages really must get through. We also decide how someone identifies themselves without a work account, and what happens when staff start and finish a shift.
We design the audience structure, the message types with and without mandatory acknowledgement, the access flow and the integrations with HR and rostering, and we test the design with real employees, not just with the client.
We build in short iterations with automated tests, structured logging and monitoring. You see working versions along the way and steer the work based on what your team actually needs in practice, rather than on a specification written months earlier.
A controlled go-live with validation and a safety net, followed by ongoing management, monitoring and further development as your organisation or service structure changes.
What a custom frontline app delivers in practice
What is needed varies by sector. These are the components that come up most often.
Targeted messages and news
Publishing to a precisely defined group, with push notifications and the option to translate a message for staff who do not speak Dutch well.
Read confirmation for mandatory information
For safety instructions, protocol changes and house rules: a record of who has seen and confirmed them, with reminders and an overview for the line manager.
Rota and shift information
Viewing their own rota, requesting shift swaps and picking up open shifts, through an integration with your workforce planning system.
Documents and instructions
Work instructions, protocols and forms where they are needed, with version control so that nobody works from an outdated instruction.
Reports from the shop floor
Reporting a fault, unsafe situation or improvement idea with a photo and location, which lands as a task with the right department instead of in a group chat.
Management without user lists
Joiners, movers and leavers come from your HR system, so permissions and audiences update automatically and former employees do not keep access to the app.
Typical use cases in practice
Frontline work applies wherever a large part of the workforce does not sit at a desk.
Healthcare
Organisations with many shift changes and locations, where protocol changes must demonstrably reach the right care workers.
Production and engineering
Companies with shift patterns where safety instructions, faults and work instructions must reach the shop floor without everyone having a computer account.
Retail and hospitality
Chains with many branches, casual staff and high turnover, where a campaign or price change has to land everywhere on the day itself.
Transport and logistics
Drivers and warehouse staff who work on the move or on the floor, and for whom information currently travels through the planner and by phone.

A frontline app runs on personal phones of widely varying age and quality. We design for that: lightweight, fast and usable on a poor connection. The exact choice depends on your processes, the systems to integrate and your hosting preferences. We deliberately choose a stack that your own team can manage and develop further, without dependence on per-user licences.
Why choose Appfront for your frontline app?
Appfront builds custom software for a wide range of organisations in the Netherlands. For a frontline app, our first question is not which features it should have, but why employees would open it at all. Without a convincing answer to that, it becomes an app that gets used for two weeks.
That is why we always start by building something that makes the employee's own working life better, usually the rota or shift swap requests. What the organisation wants to communicate comes after that. This order works; the reverse almost never does.
On every project we write clear documentation and make sure your own team, or a future supplier, can understand and manage the system. No black box: transparent code and clear agreements on monitoring, alerting and maintenance. You own the solution and pay no per-user licence fee.

Security and privacy for your frontline app
The app runs on personal phones and handles staff data. Appfront builds to the OWASP ASVS and treats GDPR as a baseline: only the permissions the app genuinely needs, no access to contacts or photos without good reason, and business data that stays inside the app rather than landing in the camera roll.
Read receipts are personal data and can feel like surveillance. We limit them to messages you explicitly mark as mandatory, make clear to employees in advance what is recorded, and align with what your works council thinks about it.
More on our security approach: information security policy and CVD policy.
- Encryption in transit (TLS 1.2+) and at rest
- Role-based access following least privilege
- Audit trail for viewing and changes
- Secrets in a secure vault, not in code
- Documented data flows for your record of processing activities
- Access lapses automatically when employment ends
Frequently asked questions about building a frontline communication app
Answers to the questions we are asked most often.
An app for employees without a fixed workstation and usually without a work email address. It solves what intranets and email fail to do for that group: reach. Messages go to a specific location, shift or role group, mandatory notices can be acknowledged, and the rota, instructions and alerts all live in the same app.
Usually with a staff number or phone number plus a one-time code, or through an invitation from the line manager with an activation link. The integration with your HR system determines who gets access and who keeps it. Anyone who leaves the organisation loses access automatically, because keeping that up manually always goes wrong in practice.
Yes, and it is usually the only realistic route. The key is a strict separation between work and personal: the app does not request access to contacts or photos it does not need, and business data stays inside the app. When employment ends, access disappears, even if the app is still installed.
That is an employment law question, and the answer depends on your collective labour agreement and arrangements with the works council. In practice, voluntary use with a good alternative works better than compulsion. We therefore always design a fallback, such as an on-site screen version for anyone who does not want or cannot install the app.
That is usually the aim, and it is sensible. Work communication over personal WhatsApp creates problems with privacy, with former employees who remain in the group, and with the fact that nobody can prove an instruction was received. The app does, however, need to feel just as quick, otherwise the group chat simply wins.
For messages you mark as mandatory, yes: the employee actively confirms and that is recorded. For ordinary messages we advise against it, as it feels like surveillance and adds little value. Deciding this per message type is one of the most important design decisions.
Yes, and in sectors with many international staff that is often the most important function. The interface can be set to a different language per user, and messages can be translated automatically, with the option for a person to check important announcements before they go out.
There are good frontline platforms, and for a standard situation they are often quicker. Custom development pays off when the app needs to integrate with your own rostering and HR systems, when you want specific shop-floor processes built in, or when per-employee licence costs become heavy with a large workforce. If a platform is the better fit, we will say so.
