Checking before the label What actually goes in the box A country without a number

Custom app for EPR checks in the dispatch department

The label is the point of no return. If a country is on the parcel that you haven't registered for, it goes to a market where you aren't permitted to sell, and you only find out when a platform blocks your listings or a regulator gets in touch. The check therefore belongs at the packing bench, not in a monthly report.

Why the dispatch team is the real measuring point

Two things come together at the packing bench. The first is the destination: only there is it settled which Member State the parcel is going to, and therefore which registration applies. The second is the packaging: only there is it settled which box, how much filling material and which tape were actually used. You need both pieces of data, and both arise there.

The administration looks tidier than it is. An item has a standard packaging, but in practice a fragile item goes into a heavier box, two orders get combined, and one packer works differently from another. Anyone basing their return on the standard specification is reporting a factory rather than a warehouse.

Since August 2026, registration has also become a condition of market access rather than an administrative obligation after the fact. That changes the urgency: a missing registration is no longer a fine a year later but a sales channel that closes today. Blocking at dispatch is then cheaper than a parcel that has already left.

How we build this

The check needs to sit within the action that already happens: scanning the order at the packing bench. Anything added on top costs speed, and therefore use.

1
Hanging the country check on scanning

When the order is scanned, the system knows the destination and checks whether a valid registration exists for it. This requires no extra step.

2
Recording the packaging as it is

Which box, which filling material, how much. With pre-configured packaging codes, that is a scan rather than a form field.

3
Weighing where it matters

For the declaration, weight per material type counts. An integration with the scale at the packing station delivers that without anyone retyping anything.

4
Blocking rather than just flagging

If a country has no registration, the order stops and a notification goes to whoever can resolve it. A warning that can be clicked away stops nothing.

What the app does in practice

The check at scanning carries the whole process. What you add beyond that depends on how varied your packaging is and how many countries you serve.

Country check when scanning the order

Destination alongside registration, with no extra step. This is the moment when stopping costs nothing yet.

Block for a country without registration

The order cannot proceed and a notification is sent out. You cannot recall a parcel that has already left for a market where you are not registered.

Packaging recorded as it is

Box, filling material and tape per shipment, with a scan instead of a drop-down list. This is the difference between a return and an estimate.

Weight from the scales

An integration with the scale at the packing station delivers the actual weight. Retyping takes time and introduces errors precisely in the figure that matters.

Flows through in the event of a fault

A warehouse that grinds to a halt when the network falters costs more than the problem itself. The app works locally on the last known registrations and clearly shows how old that data is.

Connection to your order and registration system

Orders come from your webshop or ERP, and registrations from your EPR administration, via integrations.

Who we build for

How much this weighs depends on your shipping profile. Four scenarios.

Webshops with lots of small parcels

Many countries, many parcels, little time per order. Here the check has to sit invisibly within the existing scan, or it will be bypassed. The packaging requirements themselves are covered in PPWR software.

Distribution with mixed pallets

One pallet for several customers in several countries. Allocating by country is the tricky part here and determines the entire challenge.

Producers who ship themselves

Standard packaging and larger volumes. The gain lies less in the block and more in the accuracy of the weight per material type.

Electronics and batteries

Alongside packaging, separate streams apply with their own registrations. A consignment can therefore be subject to registration obligations at several points at once; see WEEE reporting.

Technology and integrations

Registrations, countries and packaging types change. All of this should be configurable and not hard-coded into the app.

Why Appfront

The check belongs within the existing action

We attach it to the scan that is already there. An extra screen at the packing bench will be bypassed within a week.

Blocking is cheaper here than reporting

We build the block as a state of the order. A parcel already dispatched to an unregistered market cannot be undone.

The actual box, not the standard box

We record what was actually used. A report based on standard specifications cannot be substantiated in an inspection.

We do not determine your obligation

Whether you are subject to registration in a country is a legal question. We build the implementation around that outcome and the block that comes with it.

Security and privacy

This app runs on the shop floor and shows, for each order, the destination and the customer details that go with it. We display no more than necessary to pack and dispatch, set access by role and by location, and log every access.

For reporting, the record itself matters. You must later be able to show which packaging went with which consignment, even if your packaging range has since changed. We record every consignment unalterably with timestamp, packaging type and weight, even when synchronisation takes place later, and make any correction a visible correction alongside the original entry. How we handle security ourselves is set out in our information security policy; reports from outside go through our CVD policy.

Frequently asked questions about the EPR app

Because two things are only settled there: the actual destination and the actual packaging. An order can change address, and a packer chooses a different box from the standard one. A check in the order system measures intent; a check at the packing bench measures what really happens.

Only if it is built badly. We attach the check to the scan that is already there, so no extra action is added. Recording the packaging does cost one scan, and that is what a substantiated report requires. Whether you want that is a choice to make case by case.

The order is put on hold and a notification is sent to whoever can resolve it. That is deliberately stricter than a warning: since August 2026, registration is a condition for market access, and a parcel that has nonetheless been dispatched cannot be recalled.

No, and that would be impractical too. We work with packaging codes that carry the weight per material type, so scanning is enough. A scale integration is useful where a lot of custom packaging is used or where the weight varies widely.

The app then works with the most recently fetched records and shows how old they are. A warehouse that grinds to a halt is more expensive than the risk you are covering. In borderline cases the order is put on hold until someone has checked with a connection.

The EPR software keeps track of which countries you are registered in, who your authorised representatives are and when you need to report. This app uses those registrations for the check and supplies the data on which the reporting will later rely. They operate on a single set of records.

Usually, yes. We support both the camera of a phone or tablet and standalone handheld scanners, as a warehouse that works with scanners will not want to give them up. We determine which route suits you during the discovery phase on your own shop floor.

That depends on the number of shipping points, how varied your packaging is and whether integrations with your order system are needed. The country check with a block is usually quick to put to use and removes the biggest risk; packaging registration costs more. We give a reasoned estimate after the discovery phase.

Want to know whether parcels are leaving that should not be?

Take the countries you shipped to last month and put your registration numbers beside them. Every country without a number is a parcel you should not have sent. We build this as a standalone app and as part of a wider building an app project.
