Report in the car, not on Friday afternoon Agreements and actions straight into the CRM Each client's conversation history at a glance

Custom app for account manager visit reports

Appfront builds apps for account managers and field sales representatives: before the visit, the client history, open quotes and the agreements from last time; during or straight after the visit, a report with set questions, photos and dictated notes; and the actions that follow sent immediately to colleagues in inside sales, technical or logistics. So a visit report is no longer written from memory on Friday afternoon, and the agreement with the client doesn't stay in a notebook.

What is an account management visit report app?

An account manager visits fifteen clients a week. In each conversation something comes up: a complaint about a delivery, a project on the way, a competitor who offered a lower price, a request for a different product. A visit report app records that while it is still fresh, in the car after the meeting, and makes sure what follows reaches the right colleague.

Without such an app, the account manager writes his reports at the end of the week in the CRM, if he gets to them. What he remembers ends up in it; the rest doesn't. Inside sales only hears about a complaint when the client calls again, and the sales manager doesn't know which clients haven't been visited for months. The CRM is filled with clients, not with what was discussed with them.

We build custom solutions because the app has to fit your sales process: which CRM you use and what it makes available, which types of visits your account managers make, which questions need answering per visit, who carries out the actions, and what the sales manager wants to see. A CRM screen is designed for use behind a desk; a report in the car needs three taps and a dictated note.

Prepared for the visit

Before the visit, on the phone: the latest visits, open quotes, recent orders and complaints, and the agreements made last time.

Report in three minutes

After the visit, a report with set questions for each visit type, photos and a dictated note converted to text. Done before the engine starts.

Actions to the right colleague

A complaint to inside sales, a quote request to estimating, a technical question to the specialist, as a task with a deadline, visible to the account manager.

How we build your account management visit report app

We start with the reports you produce today: how many visits a week, how many are reported, and how often an agreement with a client never reached the right colleague.

1
Sales and CRM mapped out

How your account managers work, which visit types there are, which CRM you use and what it makes available, and who carries out actions arising from visits.

2
Client file and planning

The client details, history, revenue and open matters from the CRM and ERP on the phone, and the weekly visit schedule.

3
Report and actions

The report per visit type with set questions, photos and voice input, the actions sent to colleagues, and writing back to the CRM.

4
Insight and management

Reporting for sales managers on coverage, frequency and follow-up, followed by maintenance and extension with new visit types.

What an account management visit report app actually does

The components below appear in almost every field sales operation. Which ones you need depends on your CRM and on what happens during a visit.

Client file on the go

For each client: the contact persons, the latest visits, revenue and trend, open quotes and complaints, also available without signal.

Visit planning

Scheduled visits per week with a route, and clients who are due according to the agreed frequency.

Visit report

Set questions per visit type, free-text notes, photos of the shelf, installation or project, and speech-to-text for those who prefer talking to typing.

Actions and tasks

From the report, a task for a colleague with a deadline and client, and a follow-up to the account manager once it has been dealt with.

CRM integration

Reports, actions and new contacts fed back into the CRM, so the full history for each client is recorded there.

Sales reporting

Visits per account manager, coverage of the client base, clients without a recent visit, and follow-up on actions.

For whom we build an app for account managers' visit reports

The app is intended for businesses with a field sales team where client conversations are currently not recorded, or are recorded too late.

Wholesalers

Many clients, a fixed visit frequency, and orders that arise during the conversation. Scheduling and actions for the office team are at the core.

Manufacturers and brand suppliers

Visits to dealers and shops with attention to shelf and presentation. The report with photos matters most.

Technical suppliers

Projects that run for months and technical questions in the conversation. Actions for specialists and progress per project are what is needed.

Business service providers

Key account management for a limited number of large clients. The client file and the agreements from each conversation are at the core.

Why Appfront for your account managers' visit report app?

What is agreed in a client conversation is valuable as long as someone follows it up. That is what we build on: reporting while it is fresh, and actions that land with the right colleague.

Reports that actually get written

Three minutes in the car instead of an hour on Friday. What was said in the conversation is recorded, not what you happened to remember.

Agreements that get kept

An action from the conversation becomes a task for a colleague. The client does not have to call again.

Visibility of the client base

The sales manager sees which clients have not been visited for a long time and which actions are still open, without going through the CRM.

Security and privacy for an account managers' visit report app

The app holds client details, revenue, pricing agreements and conversation notes. Access is set by role: the account manager sees their clients, the office team the actions, the sales manager their team. Data on the phone is encrypted, and if a device is lost, access can be revoked remotely.

The app runs in a European data centre, with encrypted storage and daily back-ups. The CRM integration uses its own key, which can be revoked.

Frequently asked questions about an account managers' visit report app

Questions sales managers ask before getting started.

Before a visit it shows the client file with history and open matters; after the visit it creates a report using fixed questions, photos and dictated notes, assigns actions to colleagues, writes everything back to the CRM, and gives the sales manager insight into coverage and follow-up.

If it works well for your account managers, that is the answer. Often a CRM's mobile app is a small version of the desktop screen, without fixed questions per visit type, without speech input and without actions for colleagues outside the CRM. Custom development is about a report that is done in three minutes.

Yes. The client records for planned visits are stored on the phone, and reports can be created offline. They are sent as soon as there is a connection.

Yes. A dictated note is converted to text and added to the report, so the account manager can check and supplement it. Standard questions can still be answered with a tap.

For each type of action, you set who carries it out: a complaint goes to the internal team, a quote goes to costing. The colleague receives a task with the customer and deadline, and the account manager can see when it has been completed.

Most CRM systems have an interface that allows clients, contacts and activities to be read and written. We'll look at which system you use and what it makes available in the first step.

Check that first. Many CRM systems have a mobile app and visit reports, and that is enough if your account managers actually use them. Custom software makes sense if reports are currently written after the fact or not at all, if different visit types need their own questions, or if actions outside the CRM need to reach colleagues.
