Custom notary software
From digital deed processing to secure client portals. We build the software that lets your notary office work the way the modern client expects, without compromising on legal diligence or Wna compliance.
Standard software does not fit
the complexity of your practice
Every notary office has its own specialisations, working processes and requirements for client communication. Generic packages force you into a straitjacket. Custom development adapts to your practice, not the other way around.
Digital authenticity
Blockchain-based verification of documents, PKIoverheid-qualified signatures and tamper-proof timestamps. Every deed, power of attorney and declaration is cryptographically verifiable, now and thirty years from now.
24/7 client accessibility
Your clients expect self-service: uploading documents, tracking progress, asking questions and signing whenever it suits them. A secure portal that works on any device keeps your office accessible outside office hours, without adding to your workload.
Process optimisation
From intake to completion: AI-driven document checks catch missing items and inconsistencies before the appointment. Automated workflows eliminate manual steps and cut file turnaround times by 40-60%.

Depth in every specialism
of the notarial practice
Not superficial digitisation, but software that understands and supports the legal nuances of each area of law. Built with knowledge of the Notaries Act (Wet op het notarisambt) and everyday practice.
Property & real estate
Transfer deeds, mortgage deeds, ABC transactions, leasehold and apartment rights. Our software integrates with the Land Registry via KIK inspection and KIK deed, automatically generates the correct cadastral designations and checks attachments and mortgages before completion.
Corporate law
Articles of incorporation, amendments to articles of association, share issues, share transfers, mergers and demergers. A digital shareholder register with automatic KvK synchronisation and a clause library that responds to the Flex-BV legislation.
Family law & personal affairs
Marriage contracts, registered partnership agreements, cohabitation agreements and divorce settlements. Our software automatically calculates the financial consequences, generates drafts based on choice menus and integrates with the Dutch Personal Records Database (BRP).
Estate planning & inheritance law
Wills, legacies, executorship, estate administration and gifts. Visual scenario tools calculate inheritance tax under different structures, compare last-survivor wills with two-tier arrangements and show the effect of gifts on the estate.
Built to the strictest standards
of the notarial profession
The notary is bound by confidentiality. That calls for software that treats security not as a feature, but as a foundation. Every architectural decision starts with the question: does this protect the confidentiality of client data?
Notarial Profession Act compliance
The Notarial Profession Act sets specific requirements for retention (20+ years), the deed register and repertory, confidentiality and duty of care. Our software enforces these requirements through technical controls, not policy alone. Mandatory workflow steps, automatic logging and tamper-proof audit trails.
Covers Art. 22, 39, 69 Notarial Profession ActGDPR & duty of confidentiality
Privacy by design at every layer: AES-256 encryption at rest, TLS 1.3 in transit, strict access control per file, automatic retention policies and right-to-erasure workflows. Data is processed exclusively in ISO 27001-certified data centres in the Netherlands. No data is transferred to third countries.
ISO 27001 hosting · NL-onlyPKI & digital signatures
Support for PKIoverheid certificates and qualified electronic signatures (QES) in accordance with the eIDAS Regulation. Every signature carries a qualified timestamp and a Long Term Validation (LTV) profile, so signatures remain verifiable after the certificate has expired.
eIDAS QES · PKIoverheidArchiving & retention obligation
Notarial deeds must be retained for at least 20 years (Art. 69 Notarial Profession Act), and in practice often longer. Our storage architecture guarantees bit-rot-free preservation through cryptographic checksums, geographically redundant backups and periodic integrity validation. Migration to new formats is built in.
20+ years guaranteed · WORM-compliantFrom intake to go-live
in clear steps
We understand that your office keeps working while new software is being built. Our approach minimises disruption and maximises early value.
Practice analysis
We map out your working processes: which areas of law, which systems, which pain points. Interviews with the notary, candidate notaries and support staff give us the full picture.
Architecture & prototype
Based on the analysis, we design the technical architecture: integrations, data model and security layer. A clickable prototype validates the user experience before we write any code.
Iterative build
Two-week sprints. Each sprint delivers working functionality that you can test with real files. Feedback is incorporated directly in the next sprint, so there are no surprises at handover.
Migration & onboarding
Data migration from your current systems (Quantaris, Akte-Online, in-house databases), an extensive testing round and a personal onboarding programme for every employee. Includes 3 months of hypercare.
Seamlessly connected to the
notarial ecosystem
Not standalone software, but a platform that communicates with all the registers, systems and chain partners your firm works with every day. Through our API integration expertise, we build integrations that function reliably.
KNB registers
Direct integration with the KNB repertoire for automatic registration of deeds and retrieval of notarial data. Always up-to-date data, no manual entry.
Kadaster (KIK)
KIK-Inzage for ownership verification and attachment checks. KIK-Akte for structured submission of mortgage and transfer deeds. Direct return of registration numbers.
KVK Trade Register
Real-time API integration for retrieving and verifying company data, UBO registers and automatically processing changes arising from corporate deeds.
Central Wills Register
Automated registration of wills, codicils and revocations with the CTR. Direct feedback of registration numbers. Retrieval of testamentary dispositions on death.
Accounting & third-party funds account
Integration with Exact Online, Twinfield or sector-specific accounting software. Automatic postings to the third-party funds account for deposits, correct VAT handling and interest settlement.
E-signing (QES/eIDAS)
Integration with qualified trust service providers for electronic signatures: Evidos (formerly Ondertekenen.nl), Connective, ValidSign. Compliant with the eIDAS "qualified" level where legally required.
Answers for the
notary going digital
Costs vary depending on complexity and the number of integrations. A basic client portal with document management and DigiD authentication starts at around €25,000-€40,000. A fully integrated platform, with KNB integrations, KIK-Akte, Kadaster inspection, digital signatures and AI document checking, typically falls within the range of €60,000-€150,000.
We work with fixed sprint prices so you always keep control over your budget. Every two weeks you receive working software that you can evaluate. No hidden costs, no disputes over extra work afterwards. After go-live, you pay a fixed monthly amount for hosting, maintenance and ongoing development.
A first working client portal with document upload and a status overview can be live in 8–12 weeks. For a full platform with deed production workflows, KNB/Kadaster integrations, Wwft compliance and AI review modules, expect a lead time of 4–8 months.
The advantage of our iterative approach: you don't have to wait until everything is finished. After the first sprint (2–3 weeks) you have working core functionality. Each subsequent sprint adds modules. Your office can already benefit while development continues.
Certainly. The notary has an enhanced duty of confidentiality (Art. 22 Wna) that goes beyond the standard GDPR requirements. Our software is built specifically around this:
Technical measures: AES-256 encryption of data at rest, TLS 1.3 for all connections, hardware security modules (HSM) for key management, strict role-based access control per case, and automatic session timeout after inactivity.
Organisational measures: data processing agreements with sub-processors, a Data Protection Impact Assessment (DPIA) prior to go-live, audit logging of every data access, and automated retention policies aligned with statutory retention periods.
Hosting: exclusively in Dutch ISO 27001-certified data centres. No data transit to countries outside the EEA.
Yes. We have experience with the full chain of notarial registers and systems:
KNB: Integration with the repertoire for automatic deed registration and retrieval of notarial information. Integration with KNB messages and notifications.
Kadaster: KIK-Inzage (ownership verification, mortgage overviews, attachment checks) and KIK-Akte (structured submission of deeds for direct registration). Registration numbers returned directly into your case management system.
Other: KVK Trade Register API, Central Wills Register (CTR), Municipal Personal Records Database (BRP, via municipal StUF integration), FIU-Netherlands (Wwft reports), and common notarial applications such as Quantaris and Akte-Online.
The current Dutch Notaries Act (Wna) still requires physical attestation and a handwritten ("wet") signature from the notary for authentic deeds. A fully digital notarial deed is therefore not yet possible under current law.
What can already be fully digital: the entire preparatory stage (intake, document collection, drafts, feedback rounds), private deeds, powers of attorney, confirmation letters and all internal communication. For these documents we support qualified electronic signatures (QES) in line with the eIDAS Regulation, which carry the same legal weight as a handwritten signature.
Future-proof: The KNB is actively working on modernising the Wna, with pilots around digital attestation (particularly relevant for private deeds and certain company law documents). Our software is architecturally prepared for this transition, so you can switch over as soon as the law permits.
The Dutch Notaries Act (Wna) contains a number of provisions that directly affect how software for notarial offices should be set up:
Retention obligation (art. 69 Wna): Originals of deeds must be kept for at least 20 years, in practice often 75+ years for wills and property transfers. Our storage architecture guarantees long-term integrity through checksums, redundancy and format migration.
Confidentiality (art. 22 Wna): The confidentiality duty, which carries the right to refuse testimony, translates into strict access control, no shared logins, audit trails and encryption that prevents even administrators from accessing case contents without authorisation.
Register requirements (art. 39 Wna): Every deed must be recorded chronologically in the register. Our software automatically generates register and repertory numbers and ensures uninterrupted numbering.
Identification obligation (Wwft): The notary must identify clients and report unusual transactions. Automated workflows enforce that identification is completed before a deed can be executed.
Duty of care (Belehrungspflicht): Software can support the notary in recording advice given to parties, but does not replace human judgement. We build in checklists and documentation, not automated legal advice.
