Custom ticketing and reservation platform for museums
Intelligent ticketing that scales with your visitor flows. From dynamic pricing and timeslot management to real-time occupancy analysis and QR scan validation at the door. One platform that orchestrates the entire visitor journey, from the first online booking to the moment the scanner turns green.
Museums, theatres, festivals and cultural institutions deal with peaks and troughs that no off-the-shelf platform fully accommodates. We build ticketing and reservation systems that match your programme, capacity rules and brand identity precisely.
From manual ticket sales to intelligent ticketing
Cultural institutions that rely on manual or outdated systems leave money and insight on the table. A custom ticketing platform does more than automate sales: it gives you control over capacity, pricing and visitor behaviour. Below are the three areas where the difference is greatest.
Traditional approach
- Tickets sold only at the counter or by phone
- Fixed ticket prices regardless of demand or season
- Visitor numbers only visible afterwards in spreadsheets
- No visibility of no-shows and unused capacity
- Membership administration separate from the ticketing system
- Manual checks at the door using paper lists
Custom ticketing platform
- 24/7 online booking through your own website, counter and partners
- Dynamic pricing based on demand, season and early-bird offers
- Real-time dashboard with occupancy rates and revenue figures
- Overbooking and waitlist logic that prevents empty seats
- Integrated membership and loyalty system
- QR scanning at the door with offline fallback and fraud detection
The result is an institution that no longer just responds to visitor flows but actively steers them. With insights that were previously invisible, you can align programming, staffing and marketing budgets far better with reality. Three core modules that make the difference together
A ticketing platform is more than a webshop with a date picker. Its strength lies in three interconnected modules that communicate in real time: timeslot management for capacity optimisation, a pricing engine that responds to demand, and a scanning app that validates tickets at the door within milliseconds.
Intelligent timeslot management
Set a dedicated capacity for each room, exhibition or event. The system monitors in real time how many visitors are booked into each time slot, accounts for buffer time between slots for cleaning or set-up, and automatically switches to a waiting list when a slot is full. Overbooking becomes impossible without you having to intervene manually.
Dynamic pricing engine
Adjust prices automatically based on supply and demand, seasonal patterns, day of the week and remaining capacity. Configure early-bird rates that expire as an event approaches, or set up last-minute offers when occupancy is low. Every pricing rule is transparently adjustable via the admin panel, without needing a developer.
QR scanning validation app
A native scanning app for tablets or smartphones at the entrance. Within a fraction of a second, the scanner checks the ticket for validity, time slot and any duplicates. The app also works without an internet connection thanks to local caching and synchronises automatically once the connection returns. Attempts using forged or reused QR codes are flagged immediately.
Additional modules that complete the platform
Alongside the three core modules, a custom ticketing platform leaves room for modules that match your specific operations. From membership management to multi-channel sales, every module is optional and is only built if it adds value.
Membership and upselling
Give visitors the option to add an annual pass, museum donation or audio tour at checkout. The system automatically recognises existing members by email address and applies the correct discount. After purchase, the platform sends targeted retention campaigns: reminders for subscriptions nearing expiry, personal recommendations based on previous visits, and exclusive previews for members. You can also discover our visitor app with audio tour functionality.
Multi-channel sales
One central system that sells tickets through your website, the physical box office, external sales partners and affiliate links. Each sales source gets its own tracking code, so you can see exactly which channel generates which revenue. Box office staff use a streamlined POS interface that also runs on tablets, with the same real-time inventory as the webshop. That way, you never sell more tickets than there are places.
Analytics dashboard
A clear dashboard showing the figures that matter: occupancy rate per time slot, revenue per event, conversion rate from website visit to purchase, and average order value. Compare periods, filter by sales channel or ticket type, and export reports for your board or grant accountability. All data is real-time, not just available the following morning. Read more about how our services support data-driven decision-making.
White-label checkout
No redirect to an external ticketing domain. The entire checkout runs on your own website, in your own branding, on your own URL. Visitors complete the whole purchase within your brand environment. The checkout is fully configurable: extra fields for dietary requirements at events with catering, a choice between different price categories, and automated confirmation messages in your tone of voice. Payment methods and integrations
A ticketing platform never stands alone. It must communicate seamlessly with your payment provider, CMS, CRM and accounting software. We build the integrations that ensure data lands in the right place automatically, without duplicate entry or manual exports.
Payment processing via Mollie
All common payment methods through a single integration: iDEAL, credit cards (Visa, Mastercard, American Express), Apple Pay, Google Pay, PayPal and Bancontact. Our Mollie API integration supports automatic refunds on cancellations, partial payments for group bookings, and recurring billing for membership subscriptions. You can find more about the technical capabilities in the official Mollie documentation.
Museumkaart and Museumjaarkaart
For museums participating in the Museumkaart scheme, we build an integration that reads the Museumjaarkaart barcode, validates the right of entry and passes the registration automatically to the Museumvereniging. This means box office staff don't have to register visits manually, and you have accurate visitor figures for your settlement with the Museumvereniging.
CMS, CRM and accounting
The ticketing system integrates with your existing CMS (WordPress, Drupal, headless) so that events and availability appear on your website automatically. New buyers flow via API into your CRM for follow-up and segmentation. Transaction data is processed automatically in your accounting software, including VAT breakdown and general ledger account allocation. Why custom development instead of off-the-shelf software?
Platforms such as Ticketmatic, Tessitura and Eventbrite offer solid core functionality. But as soon as your organisation deviates from the standard model, you feel the limits. An exhibition with variable room layouts, a festival with day and combination tickets, or a theatre combining subscriptions with single-ticket sales: time and again you have to adapt your workflow to the software rather than the other way round.
Where off-the-shelf software falls short
Most ticketing platforms charge per ticket sold, so your costs rise the more successful you become. The checkout runs on their domain, not yours. Pricing rules are limited to the options the vendor has provided. And your visitor data sits in their system, not yours. Should you ever switch, you start from scratch.
- Your own branding at every touchpoint, from booking widget to confirmation email
- Flexible pricing rules that you define yourself, with no limit on the number of variables
- Full data ownership: all visitor data in your own database
- Seamless website integration without iframes or external redirects
- No commission per ticket, but a fixed monthly maintenance contract
- Unlimited scalability without rising licence fees as you grow
What custom development makes possible
A custom ticketing platform grows with your organisation. Adding new rooms, pricing models or sales channels is a matter of configuration, not migration. The architecture is built on open standards and REST APIs, so every future integration remains possible.
If you want to monitor capacity per room or exhibition, with groups and pass holders in a single schedule, there is our timed-entry reservation software for museum visits.
Typical use cases for custom development
- → Museum with rotating exhibitions and a permanent collection in a combined ticket
- → Festival with day, weekend and combination tickets plus a camping option
- → Theatre with season subscriptions, single-ticket sales and friends' association discounts
- → Music venue with capacity that varies by set-up (seated/standing/mixed)
- → Event venue that rents out spaces and also sells tickets for its own programming at the same time
Compliance and accessibility, built in as standard
A ticketing platform handles payment data, personal data and access rights. That calls for serious attention to security, privacy and accessibility. We don't bolt these requirements on afterwards; we design the architecture around them from the start.
PCI DSS payment security
Credit card details never touch your server. By routing all payment processing through Mollie, the PCI DSS scope falls outside your own infrastructure. Tokenised payments handle recurring membership fees, 3D Secure adds extra verification for high-value transactions, and automated fraud screening runs on every transaction.
GDPR-compliant visitor data
Visitor data is processed in accordance with the General Data Protection Regulation. That means explicit consent for marketing emails, automatic data retention with deletion after the set period, the right of access and erasure via self-service, and data processing agreements with all sub-processors. All data remains within the EU.
European Accessibility Act
From June 2025, digital services in the EU must comply with the European Accessibility Act. Our ticketing platform is built to WCAG 2.2 level AA: fully keyboard-navigable, screen reader compatible, with sufficient colour contrast and clear error messages. This keeps the booking process accessible to everyone.
WCAG 2.2 compliance
Every interface we build, from the public checkout to the internal management panel, meets the WCAG 2.2 AA guidelines. Focus indicators on interactive elements, skip links for navigation, aria-labels on dynamic content, and a logical heading hierarchy. We test with real screen readers and keyboard users, not just automated tools.
Frequently asked questions about ticketing for cultural institutions
How does dynamic pricing work for museums?
+Dynamic pricing automatically adjusts the ticket price based on variables you configure yourself. Think of the occupancy of a timeslot, the number of days until the event, the day of the week and seasonal patterns. You define the upper and lower limit of each price, so tickets never drop below your minimum rate. The system then calculates the optimal price in real time. Visitors always see the current price; once paid, the amount is fixed.
Do you integrate with existing CMS systems?
+Yes. The ticketing platform integrates via REST APIs with your existing CMS, whether that is WordPress, Drupal, a headless CMS or a custom solution. Events, availability and prices are synchronised automatically, so your editorial team does not have to enter anything twice. You embed the booking widget on your own pages, fully in your house style. See also our custom webshop capabilities for more extensive e-commerce integrations.
Which payment methods are supported?
+Through our Mollie integration we support all common payment methods: iDEAL, Visa, Mastercard, American Express, Apple Pay, Google Pay, PayPal, Bancontact and SEPA Direct Debit for recurring payments. Payment processing is fully PCI DSS compliant. Refunds for cancellations are handled automatically, and you can set which payment methods are available per ticket type.
Can the system also manage memberships and subscriptions?
+Absolutely. The membership module manages different membership tiers with their associated benefits: free admission, discounts on events, early booking access, or unlimited access to the permanent collection. Subscriptions renew automatically via SEPA Direct Debit or credit card. The system sends reminders when memberships are close to expiring and gives members a personal account portal where they can view their details, visit history and bookings.
What does a custom ticketing platform cost?
+The investment depends on the complexity and the number of modules you need. We don't work on commission per ticket sold. Instead, we offer a transparent project price for the build and a fixed monthly fee for hosting, maintenance and support. During a no-obligation consultation, we map out your situation and give you a tailored estimate. Get in touch to discuss your options.
Does the QR scanner also work offline?
+Yes. At the start of each day, the scanning app downloads an encrypted copy of all valid tickets for that day. If the internet goes down, the app validates locally against this dataset. Once the connection is restored, the app automatically syncs all scans back to the server. Tickets cancelled online in the meantime are then marked as invalid after synchronisation. This offline-first architecture ensures that a network problem cannot bring your entry control to a standstill.
