For internal teams, Zapier is a quick way to connect CRM, finance, support and marketing without building your own middleware. Zapier is a no-code automation platform that offers standardised integrations between apps through triggers (events that start a workflow), actions (tasks that are carried out) and searches (lookups in an external app). End users configure workflows, known as Zaps, in a visual editor, without needing to know anything about OAuth, REST or webhooks. That abstraction is exactly the value, and at the same time the reason to consider a direct API integration for specific scenarios.
A direct API integration between two systems is faster, cheaper to run at volume, and gives you full control over error handling, retry logic and data transformations. Zapier, on the other hand, offers breadth: once you publish a Public Integration, your product automatically connects to the other eight thousand apps in the ecosystem. For your customers, this means they can connect you to Slack, Google Sheets, HubSpot, Salesforce, Mailchimp, Notion and hundreds of other tools without you having to build those integrations yourself.
We advise on that trade-off. For high-volume, latency-sensitive or business-critical data flows, we build direct API integrations or a custom iPaaS layer. To expose your SaaS to the broad long tail of customer apps, we build a Zapier Public Integration. For internal automation without development capacity, we configure Zaps with multi-step branching and conditions. Often the right solution is a combination. Two approaches: a custom Zapier app or Zapier for internal workflows
Most organisations that approach us about Zapier fall into one of two categories. Both call for different design choices and a different project rhythm.
Publishing a custom Zapier app (Public Integration)
You are a SaaS provider and want customers to be able to integrate your product with the tools they already use. Through the Zapier Developer Platform, you build a Public Integration with triggers, actions and searches. After the approval process, your app appears in the App Marketplace and all Zapier users can connect you to thousands of other apps, without your engineering team having to build each integration separately. Using Zapier for internal automation
You want to speed up processes between existing tools: pass new leads from a form on to HubSpot, send Slack notifications for payments via Mollie, create Trello cards from support tickets, or pipe order data from Shopify into your accounting system. We design multi-step Zaps with filters, paths and formatters that run reliably, include error handling and are documented for your team.
Private Integration for a single organisation
Not every Zapier integration needs to be public. A Private Integration is only visible to your own team account. This is the right choice for internal tooling that you want to connect to other apps via Zapier, but that does not belong in the public marketplace, for example an internal admin API or a specific business system. We build Private Integrations using the same authentication standards as public apps.
AI by Zapier and agent workflows
Zapier has added AI steps that let you run prompts, summaries, classifications and data extraction within a Zap, with OpenAI or Anthropic as the backend. There are also Agents: AI agents with their own toolset based on your Zapier account. We design workflows that combine AI steps for classification and summarising with deterministic actions, so that hallucinations do not leak through to your core systems.
How a Zapier Public Integration is built technically
A Public Integration is not a standalone integration, but a definition of your API in the Zapier format: which triggers and actions exist, which fields they have, how the user authenticates, and which endpoints each step queries. We build that integration on the Zapier Platform, either through the visual Platform UI or through the Platform CLI with JavaScript code in a Git repository, and validate every trigger and action with automated tests.
A well-designed Zapier app has more than just basic endpoints. Dynamic dropdowns let users choose from their own data in the Zap editor, for example a list of projects, pipelines or forms from their account instead of a free input field. Custom fields ensure that a customer's custom fields are delivered straight away. Line-item support is essential for objects with multiple lines (invoice lines, purchase order lines). Sample data lets users test their Zap without having to trigger a real event.
For authentication we use OAuth 2.0 if your API supports it, which is the user-friendly standard Zapier recommends for consumer SaaS. API key authentication remains an option for B2B apps without a user-facing login flow. Session authentication and custom auth schemes are also supported. We make sure token refresh, scope assignment and revoke flows work correctly before your app goes through the approval process.
How we approach your Zapier project
Whether you are building your own Public Integration or want to set up complex internal Zaps, we work in four phases. Each phase has a concrete result that you can validate before we move on.
Use case & API audit
We map out which triggers, actions and searches make sense for your API. For internal workflows, we chart the current manual steps and determine which Zaps will save the most time. We check whether your API is ready for Zapier (pagination, rate limits, webhooks).
Build and test
We build the Public Integration or Zaps. For public apps, we write tests in the Zapier Platform CLI, along with dynamic dropdowns and line-item support. For internal Zaps, we configure filters, paths, formatters and error handling. Beta tests with selected users before publication.
Approval & go-live
Zapier apps go through the Approval process before they are published in the App Marketplace: a technical review covering authentication, naming, errors and user experience. We guide the submission, resolve review feedback and make sure the marketplace listing is correct, with an SEO-friendly description.
Monitoring & expansion
After go-live we monitor run counts, error rates and user feedback via the Developer Platform. We expand with additional triggers and actions based on what customers actually use. For internal Zaps we set up alerting for failed runs and, where needed, build dashboards.
Jargon and building blocks we work with
Zapier has its own terminology and building blocks. You will encounter these concepts in every Zapier implementation, and they shape the design of the solution.
Triggers start a Zap. Polling triggers check periodically (every few minutes) whether there is new data. REST hooks are webhooks that Zapier receives in real time, pushed from your system: faster and more efficient, but they require your API to support webhook subscriptions. For your own apps we build REST hooks wherever possible; they are the modern standard. Actions carry out tasks (creating a record, sending an email, registering a payment). Searches look up existing records (a lead, contact or project), which is useful in combination with "Find or Create" to prevent duplicates.
Multi-step Zaps chain multiple actions into a single workflow. Filter by Zapier stops a Zap when a condition is not met (for example, only customers with a budget over €5,000). Paths split a Zap into multiple branches based on conditions. Formatter by Zapier transforms data: dates, currencies, text, emails, numbers and names. Webhooks by Zapier and Code by Zapier provide an escape hatch for scenarios that have no built-in app. Storage by Zapier is simple key-value storage for state between runs.

Publishing your SaaS product on Zapier
You are building a scheduling tool, a forms app or an analytics platform. Customers ask for integrations with Slack, Google Sheets, HubSpot, Mailchimp and hundreds of other tools. Instead of building each integration separately, you publish a single Public Integration on Zapier and connect to the entire ecosystem in one go. We build the triggers and actions that cover your core functionality and expand them based on customer demand.
Lead routing and sales automation
New leads come in through your website, a LinkedIn Lead Gen Form, a Calendly appointment or a chatbot. A multi-step Zap normalises the data, checks whether the lead already exists in your CRM (search), applies lead scoring via Filter and Formatter, creates or updates a contact in HubSpot or Pipedrive, and sends a Slack notification to the right account manager based on region or sector.
Linking e-commerce order processing to accounting
A new Shopify order triggers a Zap that transforms the order data, creates an invoice in Moneybird or Exact Online, sends a confirmation email via Mailchimp, and, when values deviate, creates a review task in Trello. For robust, high-volume integrations, we combine this with our Shopify API integration and Moneybird integration.
AI classification of support tickets
A new support ticket in your helpdesk is classified by AI by Zapier for urgency, sentiment and category. Based on that, a Path step routes the ticket to the right tier, writes a suggested response to an internal note, and updates statistics in Google Sheets. People remain in the loop for approval; the AI does the preparatory work.
Onboarding flow for new SaaS customers
A new paying customer in your Stripe or Mollie account triggers an orchestration: create the account in your own app, send a welcome email, create a channel in Slack Connect, record the invoice in the accounts system, and notify sales. Without Zapier, this would mean at least four integrations and their ongoing maintenance.
Centralising marketing data
We collect form submissions, advert leads, event registrations and webinar attendees via Zaps into one central data model, often BigQuery, a PostgreSQL warehouse or Google Sheets as a starting point. We then build dashboards on top of it through Google Analytics integrations and attribution reporting.
Zapier versus n8n, Make and Power Automate: when to choose which platform
Zapier is not always the right platform. For every automation question, we look at the ecosystem your customers or teams work in, the volume of workflows and the level of control you need.

A full development team, not a no-code shop
We are primarily software developers. If your API is not ready for Zapier — incomplete pagination, missing webhook subscriptions, no OAuth — we fix that first. We do not build a Zapier layer on top of a shaky foundation.
Approval experience
The Zapier approval process is a review of authentication, naming conventions, error messages and UX. We know which pitfalls prolong review cycles — unclear field labels, missing sample data, poor error messages — and we build apps that get through in one or two rounds.
Architectural choice remains open
We don't sell Zapier licences. If a direct API integration is a better fit, or n8n, or your own iPaaS layer, we will advise that. Our role is to get your integration strategy working as a whole, not to squeeze you into a single tool.
Security, compliance and data residency with Zapier
Zapier is a US-based SaaS provider and the data in your workflows passes through their infrastructure. For Dutch and EU organisations, that is a trade-off we address upfront.
OAuth 2.0 and token management
For public integrations we use OAuth 2.0 with scoped tokens and a refresh flow. Tokens are stored encrypted by Zapier. We implement proper revocation endpoints, so that when a client removes the integration, access is genuinely revoked.
Data residency and GDPR
Zapier runs primarily on AWS in the US. For clients with strict data residency requirements (government, healthcare, financial sector), we build integrations on n8n or custom middleware hosted in the EU, and use Zapier only for non-PII workflows. You sign a Data Processing Addendum directly with Zapier.
Audit, logging and alerting
Zapier provides task history per Zap, including the input and output of every step. For business-critical flows, we also set up a dedicated logging layer (for example in Datadog or your own data warehouse), so you can audit runs outside Zapier and have alerting on failed runs.
Error handling and idempotency
A Zap that fires twice must not cause a duplicate invoice or a duplicate email. We design actions to be idempotent using external IDs, use Storage by Zapier for deduplication, and build a fail-safe step that routes anomalies to a review queue instead of blindly retrying.
