When SendGrid is the right choice

SendGrid is not a one-size-fits-all email platform. It excels in a number of specific scenarios, and at other times a competitor such as Postmark, Brevo or Klaviyo is more suitable. We help you make that choice before we deliver the integration.

SendGrid comes into its own at high email volumes: from a few hundred thousand emails per month the cost model becomes attractive, and the platform offers dedicated IPs, advanced deliverability tooling and extensive analytics. For SaaS applications that want to run both transactional emails (account confirmations, password resets, invoice reminders, magic links) and marketing campaigns (newsletters, drip flows, product updates) on one platform, SendGrid is a logical choice. The Email API and Marketing Campaigns sit in the same tenant, suppressions and bounces are shared, and you manage authentication and domain reputation in one place.

For lower volumes or strictly transactional use cases where every magic link must arrive within seconds, a platform such as Postmark may be a better fit: Postmark is deliberately focused on transactional-only and therefore consistently delivers quickly. For B2B marketing flows with strict EU data residency requirements we consider Brevo (formerly Sendinblue), and for e-commerce personalisation based on customer behaviour you are usually better off with Klaviyo. How we technically set up a SendGrid integration

A production-ready SendGrid integration is more than putting an API key in an env file and sending POST requests. A clean implementation separates template content from application code, validates webhook signatures, handles rate limits and bounces correctly, and accounts for retries on temporary failures. We work from a fixed set of building blocks, which we adapt to your stack.

On the application side, we work with the official SendGrid SDKs — for Node.js, Python, PHP, Java and Go — or a thin custom wrapper around the Email API v3 where minimal dependencies matter. Templates live in SendGrid itself as Dynamic Templates with Handlebars variables ({{first_name}}, {{order_lines}}), so marketing or design can make changes without a deploy. The application only sends the template ID and a payload with dynamic_template_data — no HTML in the codebase.

For the Event Webhook, we set up a dedicated endpoint that validates the signed events using the Ed25519 public key SendGrid publishes. Events are processed idempotently: bounces and spam reports update the user's status, while opens and clicks flow into your analytics pipeline. For Inbound Parse we take a similar approach: an endpoint that parses multipart bodies, writes attachments to object storage and links the email to the correct customer or ticket.

Authentication is essential. We set up Domain Authentication by default rather than Single Sender Authentication, with DKIM records for the sending (sub)domain, an SPF include for sendgrid.net, and a DMARC record that starts at p=none for monitoring and progresses to p=quarantine or p=reject. For clients with a dedicated IP, we plan a two- to four-week IP warm-up schedule so that IP reputation is built gradually with major mailbox providers.

SendGrid, GDPR and EU data residency

SendGrid is a Twilio product, and Twilio is an American company. That has implications for how you set up the integration under the GDPR, and which agreements you need in place before going live.

Data Processing Agreement (DPA)

Before you process personal data through SendGrid, you need a Data Processing Addendum with Twilio. Twilio offers a standard DPA with Standard Contractual Clauses for transfers to countries outside the EEA. We guide the legal review and make sure the DPA is in place before the first email is sent.

EU region for data residency

For SendGrid, Twilio offers an EU region in which email content and metadata are processed in EU data centres. For strictly GDPR-bound cases, such as healthcare providers, legal services or government, we advise using this region or an alternative platform with EU-only processing, such as Postmark or Brevo.

Suppressions and data minimisation

SendGrid stores bounce and spam suppressions to prevent repeated failed deliveries. We document which data (email address, optionally name, transactional context) is processed, configure retention periods, and ensure erasure requests (right to be forgotten) are passed on to SendGrid via the API.

Double opt-in and list-unsubscribe

For marketing email, GDPR requires demonstrable consent. We set up double opt-in via SendGrid Marketing Campaigns or your own sign-up flow, include a working unsubscribe link in every marketing email, and add the list-unsubscribe header that Gmail and Yahoo have required since February 2024 for senders of more than 5,000 emails a day.

Frequently asked questions about SendGrid integration

What is the difference between Single Sender and Domain Authentication in SendGrid?
Single Sender Authentication verifies one email address at a time and is intended for low-volume or test scenarios. Domain Authentication verifies an entire (sub)domain via DKIM and SPF records and is the right choice for production sending. We set up Domain Authentication by default, as it improves both deliverability and appearance (no "via sendgrid.net" in the sender).
Why do I need DMARC alongside SPF and DKIM?
SPF and DKIM check which servers and which signatures are valid for your domain, respectively. DMARC tells mailbox providers what to do if those checks fail: accept, place in spam, or reject. Since February 2024, Gmail and Yahoo require DMARC for senders of more than 5,000 emails a day. We often start at p=none for monitoring and work up to p=quarantine or p=reject.
When should I choose a dedicated IP with SendGrid?
A dedicated IP becomes worthwhile at around 100,000 emails a month of consistent volume. You then build your own IP reputation, separate from other SendGrid customers. The advantage is greater control. The downside is that a dedicated IP without warm-up or sufficient volume can actually perform worse than a shared pool. We assess volume and consistency before advising.
Can I migrate existing templates from Mailchimp or HubSpot to SendGrid?
Yes, in most cases. Mailchimp or HubSpot templates are HTML with merge tags; we convert these to SendGrid Dynamic Templates with Handlebars variables. Images are re-hosted within SendGrid or via your CDN. For large sets of templates, we automate the conversion so the work isn't done by hand.
How does SendGrid handle EU personal data under the GDPR?
Twilio offers a DPA with Standard Contractual Clauses and an EU region for SendGrid, where processing takes place in EU data centres. What exactly does the Event Webhook do, and do I always need to set it up?
The Event Webhook sends every email event (delivered, open, click, bounce, spam report, unsubscribe, dropped) to an endpoint in your application. For production sending, we always recommend it: you want bounces and spam complaints processed automatically to protect your list hygiene and sender reputation. Without a webhook, you have to check the SendGrid dashboard manually, which does not scale with volume.
How long does a SendGrid integration typically take?
A straightforward transactional integration with Domain Authentication, a few Dynamic Templates and the Event Webhook typically takes two to four weeks. A full migration from another platform, with IP warm-up, suppression import and marketing flows, takes six to ten weeks. What determines the cost of a SendGrid integration?
The number of email streams (transactional only, or marketing and inbound as well), the number of templates, the complexity of the Event Webhook processing and any migration from an existing platform.
