A franchise portal is the backbone of your model.

A franchise portal, sometimes called a model environment, branch portal or franchise hub, is the central work platform on which your franchise model runs. Branch managers, franchisees, model coaches and your franchise office do their daily work there: placing central purchasing orders, completing training modules, retrieving marketing materials for local campaigns, submitting KPIs, arranging royalty payments, and keeping audit and mystery shopper scores up to date. When that work runs through email, WhatsApp groups, shared drives and loose Excel files, it costs your office and your franchisees a disproportionate amount of time, and brand consistency is gradually eroded, branch by branch.

A well-built franchise portal removes that workload by becoming a single source of truth for your model. The branch manager sees their training status, the purchasing catalogue with their purchasing rights, current marketing campaigns, the monthly royalty overview and their audit score. Your franchise office sees KPIs, NPS, brand compliance position and outstanding obligations for each branch, and can steer based on data rather than gut feeling. The difference between a franchise portal that gets bypassed and one that becomes the hub of the model rarely lies in the technology; it lies in how well it fits the work branch managers already do, and how much room you leave for local initiative.

This type of platform sits close to a dealer portal, but differs in one important respect: dealer relationships are primarily transactional (product distribution to independent resellers), whereas franchise relationships revolve around transfer of the concept, contractual agreement, royalties and brand consistency over a long-term relationship. A franchise outlet is not a customer; it is an entrepreneur investing in your concept. The portal must respect that dual nature: central control where the concept requires it, local flexibility where the entrepreneur has earned it.

Outlet managers call or email for stock, pricing tiers or an urgent order. Your buyers then key the orders into the ERP. Pricing discrepancies creep in, exceptions go unrecorded, and nobody has an overview of adherence to the central catalogue.

Outlet managers create their own flyers in Canva, using logos pulled from Google, for a neighbourhood event or seasonal promotion. Introduction

A conversation in which we establish which flows the portal must support (onboarding, training, central purchasing, marketing, royalties, KPIs, audits, complaints), which POS, ERP, LMS and marketing automation systems surround it, and how your formula coaching is currently organised. At the end, you receive an initial outline of scope and an idea of where we would start.

Discovery with your outlets

A workshop with your franchise operations team, plus interviews with a cross-section of outlet managers: one outlet that has been running for years, one that has just opened, and one with a notably low KPI. What do they do now, where do they run into problems, and what do they expect? The outcome: scope, screen flow, role matrix and a plan per module.

Building in sprints

A working build every two weeks. Your team tests along the way, as does a small group of pilot outlets. We start with the most critical flow, usually onboarding plus central purchasing, and expand in subsequent sprints to training, the marketing toolkit, royalties, KPIs and audits. This way you see value early and can adjust scope each sprint.

Phased rollout and management

We roll out in phases to your full outlet base, often per cluster or per regional manager, run onboarding sessions in small groups, and provide ongoing management for security, POS integrations, ERP flows and further development of new modules.

SSO via Azure AD, Okta or Google Workspace for your franchise business. Invitation flow and multi-factor authentication for branch managers. Onboarding

Branch onboarding from intake to opening

A structured onboarding path for a new franchisee: requesting and archiving contractual documents, completing mandatory training modules in the right order, ordering opening stock from the central catalogue, setting up POS and local systems, and a final check by the concept coach before opening. The branch only goes live once onboarding is complete — no forgotten steps, no loose Drive folders.

Training

Lightweight LMS with role-based certification

A training module in the style of a lightweight LMS: courses, videos, knowledge tests and certificates per role — branch manager, cash desk staff, barista, chef, optician. Records who has completed what for each employee, with automatic renewal reminders. Certain concept elements (a new product line, a seasonal menu, a changed service procedure) are released with a mandatory mini-training and read confirmation before going live in the branch.

Central purchasing

Order pipeline to the central catalogue

Branches place orders from a central, concept-driven catalogue with real-time stock and contract pricing. Recurring orders for consumables, seasonal orders for menu changes and urgent orders for shortages. Local suppliers — for concepts with partly local sourcing (fresh bread, fresh produce) — are supported through an approved supplier list per region. Marketing

Local × central marketing toolkit

A marketing toolkit with central campaigns and local variables: the campaign manager at head office prepares a seasonal promotion with brand identity, copy and artwork, and the branch manager adds their local adjustments — address, opening hours, local offer. Co-branding templates with automatic logo insertion, an approval flow for deviations, and direct export to print, social and local ads. Brand compliance is built in structurally rather than corrected afterwards.

Royalties

Royalty administration from POS revenue

Automated royalty calculation based on actual POS revenue per branch, with the franchise agreement as the source: percentage of net revenue, minimum payments, marketing fund contributions, IT fees. Monthly settlement with a clear statement plus direct export to your accounting (Exact, AFAS, or via your accountant). Disputes receive a structured flow with an audit trail instead of an email exchange that can no longer be traced later.

KPI

POS, revenue and KPI reporting

Brand compliance audits by franchise coaches, using a digital checklist, photo evidence, scoring per category (appearance, hygiene, customer experience, pricing) and automated follow-up actions. Mystery shopper agencies get a separate tenant so their scores arrive tamper-proof. Customer complaints are collected centrally via your website or customer app and routed to the right outlet, with an escalation path to the agency if things stall. Repeat issues become visible in the audit dashboard.

Sectors we build franchise portals for.

The terminology differs by brand — some call it a "franchise portal", others an "outlet environment", "franchise hub" or "operations platform" — but the patterns are similar. In retail food (such as bakery chains, Subway-style sandwich concepts or bake-off concepts) this often means recurring central purchasing, fresh-versus-dry supply routes and seasonal menus with mandatory training modules. In non-food retail (such as department stores, interior and homeware chains, or coffee-shop concepts) brand asset management, planogram execution and range discipline play a bigger role. In hospitality (from Domino's-style quick service to bar concepts and hotel chains) the focus is on service procedures, hygiene audits and locally coordinated marketing around events.

In service businesses (hairdressing chains, optician brands, gyms, childcare, car body repair), certifications per employee, calendar integration and mystery shopper flows become central. In automotive franchise structures (used car dealers, tyre centres), heavy POS and garage software integrations come into play, along with parts purchasing. For multi-brand holdings, where a group runs several food concepts plus a service brand under one umbrella, a multi-tenant platform architecture with separate royalty structures and separate franchise manuals is the norm. For internationally rolled-out franchises, master franchise structures come into view, with sub-franchising and regional developers who recruit outlets themselves within their territory. We always advise based on what your franchise agency already runs and what your management partner supports, not from a preferred stack.

Technology stack and integrations.

We build franchise portals on a stack that works in almost any franchise environment and stays maintainable. The front end runs on React, Vue or Next.js with TypeScript, and the back end on Node.js, Python or .NET, depending on what your IT team knows. Ultimately, your people need to be able to manage the portal, or at least the party taking it over after us needs to understand it. For POS, we integrate with Lightspeed, Vectron, Untill, MplusKASSA, Square for Restaurants or a custom till system. For ERP, we work with SAP S/4HANA, SAP Business One, Microsoft Dynamics 365, Exact Online, Exact Globe, AFAS Profit or Unit4. For product data, we use Akeneo, Pimcore or Salsify; for DAM, Bynder or Brandfolder; for LMS, TalentLMS, Easygenerator or a custom LMS alongside the portal; for marketing automation, HubSpot, Salesforce Marketing Cloud or Klaviyo; and for BI, Power BI, Tableau or Looker.

Compliance is not a side issue for franchise portals. The Dutch Franchise Act (in force since 2021) imposes a disclosure obligation on the franchisor in the pre-contractual phase, a consent requirement for material changes to the business format, and specific rules on goodwill compensation upon termination. The portal helps you carry out these procedures in a structured way rather than improvising case by case: documents in the correct order, sufficient response periods, traceable votes, and an audit log that demonstrates the procedure was followed. In addition, GDPR, competition law (territorial exclusivity, the prohibition on vertical price fixing, information exchange between franchisees), the Gift Vouchers Act and ePrivacy all apply. We therefore build an immutable audit log as standard and steer clear of constructions in grey areas of competition law, such as mandating consumer prices through the portal. What franchise owners and franchisors typically want to know before we begin.

What is the difference from a dealer portal?
A dealer portal is at its core a distribution channel environment: a manufacturer or wholesaler sells products through independent resellers, a transactional relationship. A franchise portal supports the transfer of a business format: the franchisee operates your concept, not just your products, so contracts, royalties, training, brand compliance and format uniformity are integral. The modules overlap (both have central purchasing and marketing toolkits), but their focus differs: dealer portals rely on pricing tiers and lead distribution, whereas franchise portals focus on onboarding, royalties, audit and governance under the Franchise Act.
How do you handle multi-tenancy for multiple formats or countries?
For holdings with multiple franchise brands, or a single brand operating across several countries, we build the portal as a true multi-tenant platform architecture: one codebase, one deployment pipeline, with each tenant having its own branding, royalty structure, franchise manual versions, language, and POS and ERP integrations. Your franchise office can switch between tenants from a single login. For master franchise arrangements, we add a second authorisation layer so the master franchisee can recruit and manage outlets in its country or region, while you keep oversight of compliance and KPIs at brand level.
How do we handle onboarding of a new outlet?
A structured onboarding path begins as soon as a franchisee has been contracted: contractual documents are requested and archived in the correct order, mandatory training modules are released, opening stock is ordered from the central catalogue, POS and local systems are pre-configured, and the format coach receives a digital checklist for the pre-opening audit. The outlet only shows as "operational" in the portal once all steps are complete: no forgotten documents, no loose Drive folders, no WhatsApp checklists.
Can the portal integrate with our POS, ERP and till systems?
Yes. We build integrations with the common till systems (Lightspeed, Vectron, Untill, MplusKASSA, Square) and ERP systems (SAP S/4HANA, SAP Business One, Microsoft Dynamics 365, Exact Online, Exact Globe, AFAS Profit, Unit4, NetSuite, Odoo) via REST, SOAP or a message bus. For franchises running a mix of POS systems, we build a POS abstraction layer so the royalty engine and KPI reporting work uniformly, regardless of which till system sits behind an outlet. How does royalty calculation work, and can contracts be adjusted accordingly?
Royalties are driven by the actual POS revenue per outlet, plus the terms of the franchise agreement held in the portal: percentage of net revenue, any minimum payments, marketing fund contributions, IT fees and tiered arrangements. Changes, such as an outlet moving from a start-up tier to the standard percentage, flow through automatically without manual adjustment. Monthly settlement with a clear statement and export to your accounts. Disputes follow a structured workflow with a full audit trail.
How do you handle the Dutch Franchise Act (Wet franchise)?
The Dutch Franchise Act imposes two structural requirements that a portal can support well. The pre-contractual disclosure obligation, which requires relevant information to be provided to the prospective franchisee in good time and in full, with a reflection period, is handled for prospective tenants with version control and read confirmation for each document. The right of consent for material changes to the formula is supported by a voting workflow, a sufficient response period and an unalterable audit log. We are not legal advisers and work closely with your franchise lawyer, but the portal ensures that the procedural steps are not left to chance.
What about competition law and territorial exclusivity?
Vertical competition rules set limits on what a franchisor may prescribe centrally. Recommended retail prices are permitted, but vertical price fixing for consumer prices is not. Territorial exclusivity can be granted within the limits of the block exemption regulation. Information exchange between franchisees can be risky in certain forms. We build the portal with these boundaries in mind: no functionality to automatically enforce consumer prices at the POS, and no open revenue comparison between franchisees at named level. Which frameworks specifically apply to your formula is for your franchise or competition lawyer to assess.
How do we handle access and authentication?
For your franchisor head office, via SSO on your existing Identity Provider: Azure AD, Okta, Google Workspace or a proprietary solution. For outlet managers, an invitation flow with multi-factor authentication, and SSO where franchisees offer it themselves. Multiple roles per outlet: outlet manager, assistant manager, cashier, marketing lead, controller. For master franchises and area developers, we work with overlay roles across their assigned outlets or region.
Does the portal support multiple currencies and languages?
Yes. For formulas operating in several countries, whether directly or via a master franchise, the portal supports multiple currencies for royalties and central purchasing, multiple languages for the interface, formula manual and training, plus country-specific compliance rules. A formula may fall under the Dutch Franchise Act in the Netherlands and under other frameworks in Germany or France; the portal supports separate legal tenants within a single instance. We often tackle international rollout country by country in a separate sprint after the national go-live.
What about security, GDPR and the audit trail?
Encryption in transit (TLS 1.3) and at rest, role-based access following the principle of least privilege, and an unalterable audit log for every action. A GDPR baseline as standard, with data processing agreements per outlet where consumer data is processed, such as loyalty programmes, customer app data or complaint records. For the Franchise Act moments (the disclosure requirement and the consent requirement), we keep an audit trail that you can produce years later for a franchise council or a court.
How long does it typically take before we can go live?
That depends heavily on the modules, the number of POS and ERP integrations, and how many outlets come online at launch. For a compact franchise portal with onboarding plus central purchasing and KPI reporting, we work to a timeline of a few sprints. For a franchise platform with audit, a marketing toolkit, a royalty engine and LMS integration, we run over several sprints. For an enterprise platform with multi-tenant theming for multiple brands, multi-currency and master franchise roles, expect several consecutive sprints, often delivered in phases by brand or by country. We always work to a fixed sprint budget, so you can adjust scope from one sprint to the next.
Do you build custom, or do you set up an off-the-shelf package?
Custom, but pragmatic. For SSO, document storage, search, training video hosting and standard reporting, we use proven libraries and services. The application logic, royalties engine, audit flows and integrations with your POS, ERP and, if needed, custom LMS systems we do build custom, because that's where every formula differs and where your competitive advantage lies. A standard franchise package forces you into the software vendor's way of working; a custom portal follows your formula.
