Custom studio management software
Appfront builds custom software for studios where classes, instructors and rooms form one puzzle together: dance, yoga, music, ceramics, photography. Participants sign up online with a class card or subscription, waiting lists move up automatically, and you can see per room and per instructor what actually fills up. Get in touch.
What is studio management software?
Studio management software brings together three scarce things: the room, the instructor and the participant. A class can only go ahead if a room is free, an instructor is available and there are enough sign-ups. If one thing changes — an instructor drops out, a room is rented out — the rest has to shift with it, and you do not want to do that by hand.
That makes it different from general booking software, where a customer books a time slot with an available resource. In a studio, the participant does not book a time slot but a place in a scheduled class, with a credit that is deducted and a waiting list that moves up.
Appfront builds this as custom software, so that your own class types, credits and cancellation rules fit in, rather than you adapting your processes to a package.
Timetable, instructor and room in one puzzle
A class always needs a room and an instructor. The system guards against double bookings and shows which gap appears when someone drops out.
Class cards and subscriptions
Credits that are deducted on sign-up and refunded on timely cancellation, with a validity period and the exceptions you set yourself.
Waiting lists that manage themselves
When someone cancels, the first person on the waiting list moves up automatically with a message and a response deadline, so a full class stays full.
Studio or booking system? The distinction
Appfront builds both. The difference lies in what is being booked.
A place in a scheduled class
The offering is a timetable you create: classes at fixed times, with an instructor, a room and a maximum number of participants. Credits, waiting lists, series and instructor deployment are the core.
A time slot with a resource
The customer chooses a moment with an available room or person themselves. Then look at booking software. If it is about members and subscriptions in a gym, look at gym software.
Our development process for your studio system
The rules around credits and cancellations account for most of the complexity. We make them explicit early on, because they are rarely as clear-cut as they appear.
We map out your class types, credits, subscriptions and cancellation rules, as well as how instructors are deployed and paid and which rooms are available. The exceptions matter most: trial lessons, holiday periods, workshops sold separately.
We design the timetable model, the credit logic, the booking and waiting list flow, and the instructor scheduling, plus the screens for participants, instructors and administration.
We build in short iterations with automated tests, structured logging and monitoring. You see working versions along the way and steer the work based on what your team actually needs in practice, rather than on a specification written months earlier.
Controlled go-live with validation and a safety net, followed by ongoing management, monitoring and further development as your class offering or pricing structure changes.
What custom studio management software actually delivers
What's needed varies from studio to studio. These are the components that come up most often.
Timetable management
Schedule classes as a one-off session or as a series, with room, instructor, capacity and level, and with checks to catch double bookings for rooms and instructors.
Online booking
Participants book via your website or a dedicated portal, with their credit deducted immediately and a confirmation that includes the practical details.
Credits, memberships and single sales
Class packs with expiry dates, recurring memberships, individual classes and workshops, including pausing and the exceptions you inevitably make in practice.
Instructor deployment and pay
Instructor availability, assignment to classes, cover when someone is unavailable, and a record of classes taught as the basis for pay.
Room occupancy and hire
Insight into how full your rooms really are, with the option to offer empty slots for hire to third parties without jeopardising the class timetable.
Insight into attendance and trends
Which classes are consistently under-attended, which instructors are overloaded, and where participants drop off — the information you need to plan the timetable for the next season.
Typical use cases in practice
The pattern of room, instructor and credit recurs across many types of studio.
Dance and yoga studios
Fixed weekly timetables with levels and series, where participants book with a class pack or membership and waiting lists move up daily.
Music and creative schools
A mix of group and individual lessons, with instructors working across different locations and materials linked to each lesson.
Workshops and makerspaces
Spaces with equipment where participants both attend classes and work independently, requiring equipment bookings alongside the class timetable.
Recording and photography studios
Studios that run workshops and also hire out space, where hire and the class timetable compete for the same room.

The precise choice depends on your processes, the systems to be integrated and your hosting preferences. We deliberately choose a stack that your own team can manage and continue to develop, without dependence on per-user licences.
Why choose Appfront for your studio system?
Appfront builds custom software for a range of organisations across the Netherlands. For a studio, it starts with your rules on credits and cancellations. These seem simple until you write them down — and that is exactly where off-the-shelf packages struggle, because every studio does it slightly differently.
We build the rules as configurable settings rather than hard-coding them, so you can adjust them yourself when the season or the offering changes. That saves you a change request to us for every small adjustment.
On every project we write clear documentation and make sure your own team, or a future supplier, can understand and manage the system. No black box: transparent code and clear agreements on monitoring, alerting and maintenance. You own the solution and pay no per-user licence fee.

Security and privacy for your studio system
Participant data is personal data, and sometimes there is more in it than you might think — an injury, a pregnancy or a medical note on a yoga class booking is health information with stricter requirements. Appfront builds to the OWASP ASVS, with the GDPR as the baseline.
We set it up so that instructors only see what they need for their own class, and that sensitive notes are stored separately with restricted access. Payment details stay with the payment provider, so they never end up in your own system.
More on our security approach: information security policy and CVD policy.
- Encryption in transit (TLS 1.2+) and at rest
- Role-based access following least privilege
- Audit trail for viewing and changes
- Secrets in a secure vault, not in code
- Documented data flows for your record of processing activities
- Health notes stored separately with restricted access
Frequently asked questions about custom studio management software development
Answers to the questions we are asked most often.
Software that brings the class timetable, instructor allocation, room occupancy and participant bookings together in one system. Participants book a scheduled class online, their credits are deducted, waiting lists move up when a place is cancelled, and you can see by room and instructor what is filling up.
With booking software, the customer chooses a time slot with an available room or person. In a studio, the participant books a place in a class you have already scheduled, with a set instructor and a maximum capacity. That calls for credits, waiting lists, series and substitution logic, none of which a general booking system handles.
Yes, and that is usually the crux. How many hours in advance someone can cancel free of charge, whether they get their class credit back, whether this also applies in case of illness, and what happens in the event of a no-show. These rules vary between studios and sometimes between class types. We store them as rules you manage yourself rather than hard-coding them, so you can adjust them without a developer.
When a place is cancelled, the first person on the waiting list automatically receives a message with a response deadline. If they don't respond in time, the place moves on to the next person. That keeps a full class full without anyone having to phone around manually. You set the deadline and the number of reminders yourself.
Yes, in a personal portal or app: remaining credits and validity period, upcoming classes, cancelling within the rules, and the waiting lists they are on. This removes most of the email traffic, which is where a large share of a studio owner's time goes.
Yes. Room hire and the class timetable compete for the same space, so they need to sit in one calendar. The system ensures a rental booking does not block a class that is already scheduled, and shows which slots are consistently empty and therefore available to rent.
Via an integration with a payment provider for iDEAL and automatic direct debits for subscriptions. Invoices and direct debits can be passed on to your accounting. We do not build our own payment processing; that belongs with a specialist provider.
There are good packages for yoga and fitness studios, and if your offering fits neatly into one, you will be up and running faster. Custom development pays off when you combine class types, credits or room hire in a way the standard model does not support, when you run several locations with their own rules, or when the cost per participant becomes unmanageable as you grow.
