Panel members with profile and consent Invite by quota, not by gut feeling Incentives that are fair and hard to abuse

Custom software for panel management and respondent incentives

Appfront builds software for market research agencies, universities and organisations with their own research panel: panel members with their profile and consent, invitations to a study based on profile and quota, tracking who has taken part, incentives in points, vouchers or donations that match participation, and checks for duplicate accounts and unreliable responses. So the panel stays healthy, participants receive what they were promised, and the researcher knows the responses are representative.

What is panel management and respondent incentive software?

A research panel is a group of people who have agreed to take part in research. The panel is only as good as the people in it: their profiles must be accurate, they must be invited neither too often nor too rarely, and they must receive what was promised. Panel management software keeps track of this, from sign-up through to payment, and connects to the survey software where the research itself runs.

Without such software, the panel lives in a mailing system, invitations are sent to a selection from an export, and someone keeps track in a spreadsheet of who has received which voucher. A panel member with three accounts completes the survey three times and receives three rewards. A target group is exhausted because nobody can see how often its members have already been invited. And a participant who doesn't receive their reward withdraws and tells others.

We build custom solutions because management must align with your panel and your research: which survey software you use, which profiles you maintain, which incentives you offer and through which supplier, which rules you apply for invitations and rest periods, and which quality requirements your clients set for responses. A mailing system knows addresses; it does not know a panel member with a profile, a balance and a participation history.

Panel members and profiles

Every panel member with sign-up, double opt-in, profile, preferences and consent, and a portal where they can update their own details and see their balance.

Invite by quota

A selection by profile and quota, taking into account how often someone has recently been invited, and the invitation with a unique link to the survey.

Incentives that add up

A reward for each completed participation, credited as soon as the survey confirms it, paid out in points, vouchers or a donation, and refused in cases of fraud.

How we build your panel management and respondent incentive software

We start with your panel as it is today: how many members there are, how active they are, how they are invited and rewarded, and how often something went wrong with a reward or a duplicate account.

1
Mapping the panel and research

Your panel and how it is structured, the profiles, the survey software, the incentives and their supplier, and the rules for invitations.

2
Members, profiles and consent

Taking over the panel with profiles and consent, sign-up with double opt-in, and the portal for panel members.

3
Invitations and participation

Selection by profile and quota, invitations with unique links, integration with the survey tool for completions and drop-outs, and fraud checks.

4
Incentives and management

Crediting and paying out rewards, reporting on panel health and response rates, and ongoing management and expansion afterwards.

What panel management and respondent incentive software actually does

The components below come up in almost every panel. Which ones you need depends on the size of your panel and on how you reward participants.

Sign-up and profile

Sign-up with double opt-in, profile questions that panel members update themselves, and periodic questions to keep profiles up to date.

Consent and preferences

Consent for research and contact per panel member, preferences for topics and frequency, and one-click unsubscribe.

Selection and invitation

Selection by profile, quota and rest since the last invitation, with reminders and a unique link per panel member.

Participation and completion

Feedback from the survey software on completion, dropout or screening, so the status is accurate per panel member and per study.

Incentives and payment

Rewards per participation credited to a balance, paid out as a voucher, bank transfer or donation, with an overview per panel member.

Quality and fraud

Checks for duplicate accounts, speeding and patterned answers, with rewards withheld and members excluded.

Who we build panel management and respondent incentive software for

The software is intended for organisations with their own panel, where recruitment, invitations and rewards are currently spread across separate systems.

Market research agencies

Large panels and many studies running at once for different clients. Quota-based selection and fraud checks are at the heart of it.

Universities and research institutes

Panels for scientific research with strict consent requirements. Consent per study and incentives matter most.

Government bodies with a citizen panel

Residents who help shape policy. Consent, accessibility and reporting on representativeness are essential.

Organisations with a customer panel

Customers who give feedback on products and service. The integration with the CRM and a reward that suits the brand are at the heart of it.

Why choose Appfront for your panel management and respondent incentive software?

A panel is trust in both directions. That is what we build on: panel members receive what they were promised, and the researcher gets responses they can rely on.

Rewards on time and accurate

Anyone who completes a questionnaire sees the reward on their balance. No spreadsheets, no forgotten vouchers.

A panel that doesn't wear out

Selection takes recent invitations into account. Scarce target groups aren't used up within a month.

Responses that mean something

Duplicate accounts and speeders are flagged and receive no reward. The data the researcher receives is cleaner.

Security and privacy for panel management and respondent incentive software

The software holds personal data, profiles, participation history and payment details of panel members. Access is set per role: panel management sees members and profiles, researchers only the selection for their study, and administration the payouts. Survey answers are kept separate from identifying data.

The software runs in a European data centre, with encrypted storage and daily backups. Panel members can view, change and have their data deleted, and inactive members are cleared out according to your policy.

Frequently asked questions about panel management and respondent incentive software

Questions panel managers ask before getting started.

It manages panel members with profiles and consent, selects and invites them based on profile and quotas, processes completions from your survey software, credits rewards to a balance and pays them out, checks for fraud, and reports on panel health and response.

Yes, provided your tool supports a unique link per participant and can report completions, drop-outs and screen-outs back. Most survey tools can. We will look at which tool you use and how it reports back in the first step.

It detects duplicate accounts at sign-up and afterwards, flags responses that are too fast or follow suspicious patterns, and only pays out rewards after a check. Members who repeatedly stand out can be excluded.

Points credited to a balance, vouchers from a supplier, bank transfers, or donations to a charity of choice. You define which forms you offer and from what balance a panel member can redeem.

Panel members give consent at sign-up, can view and change their data, and unsubscribe with one click. Responses are delivered to the researcher separately from identifying data, and inactive members are removed in line with your policy.

Yes. You set quotas per profile characteristic, the software selects on them and closes a quota once it is full, so panel members are not invited to a study they no longer fit.

Check that first. Some survey tools have a panel module, and that is enough for a small panel with simple rewards. Custom development makes sense if your panel is large, if you work with several survey tools, or if incentives, fraud control and panel health need to be tracked rigorously.
