Golden records & deduplication Data quality & stewardship Synchronisation via APIs

Custom Master Data Management (MDM) software development

Appfront builds custom MDM platforms that turn fragmented customer, product and supplier data into one reliable source. Records from your ERP, CRM and webshop are matched and deduplicated into golden records, safeguarded by data quality rules and stewardship workflows, with version control and a full audit trail. Approved changes sync back to connected systems via APIs. For wholesale, retail, manufacturing, healthcare and financial services providers who work with multiple systems and want control over their data quality.

What is master data management software?

Master data management (MDM) software manages your organisation's core data, such as customers, products, suppliers and locations, across all your systems. Where ERP, CRM, webshop and financial administration each keep their own version of the same customer or item, MDM software consolidates those versions into one golden record: the agreed, trusted representation of that data. From that record, connected systems are updated via APIs, so sales, purchasing, logistics and finance all work from the same data.

Data quality problems arise because systems have grown alongside one another, each with its own input rules and definitions, and because nobody formally owns the customer or item file. You will likely recognise the result: duplicate customers in the CRM, items named differently in each system, and reports showing different figures per department. Standard MDM suites are built for large corporations and ask you to squeeze your data model and processes into their structure. A custom platform aligns with your own definitions, your rules on which source takes precedence per field, and the way stewardship is organised within your business.

It is important to set boundaries: MDM is about managing master data across systems, not about storage itself. For designing and building the underlying data layer, you can turn to our database development service; if you want to replace the company-wide process system itself, look at custom ERP software. A PIM system, focused on product content for e-commerce, is an adjacent domain: it can be a source or consumer of your product master data, but it does not replace MDM.

One golden record per entity

For each customer, product and supplier, one composed, trustworthy record, built according to defined rules on which source takes precedence for each field. That record feeds the connected systems, rather than each system maintaining its own version of the truth.

Data quality as an ongoing process

Validation rules safeguard mandatory fields, formats and reference lists on every entry and import. Borderline cases and deviations are routed as tasks into a stewardship workflow, so that data quality becomes a managed process rather than an annual clean-up exercise.

Traceable with versions and audit trail

Every change, merge and synchronisation is recorded: who did what, when, and on the basis of which rule. Previous versions remain available and merges can be reversed, so you can correct mistakes and account for decisions.

How we build your MDM software

We work in stages and involve the people who work with the data every day early in the process: application managers, the prospective data stewards and the departments that feel the consequences of poor data. Each step aims at a platform that your organisation understands and can continue to use independently.

1
Discovery & scope

We map out your system landscape and data flows: which entities are core data, where each is recorded, and where the duplicates and conflicts lie. Together we define the scope: which entity and which systems we start with, and who becomes the steward.

2
Design

We design the data model, the matching and survivorship rules, the validation rules and the interfaces with your ERP, CRM and webshop. The authorisation model and stewardship workflows are also defined here and tested against your own real-world cases.

3
Build & iteration

We build in short iterations with automated tests and run trial rounds with your real data: how many duplicates the matching finds, and whether the merge proposals are correct. You help steer the rules until the outcomes match practice.

4
Go-live & management

A controlled go-live with an initial de-duplication round and data validation, followed by ongoing management, monitoring of the synchronisations and further development as your system landscape or product range changes.

What MDM software actually does

We tailor every platform specifically to your entities, systems and rules. Below are the features we most often deliver for organisations that want to get their master data in order and keep it that way.

Matching & de-duplication

Records from different systems are compared on hard keys, such as Chamber of Commerce numbers and email addresses, and with fuzzy matching on name and address. Clear duplicates are merged automatically, while borderline cases appear as proposals in the steward's work queue.

Golden records & survivorship

Per customer, product or supplier, a single golden record is built. Survivorship rules determine, field by field, which source wins in case of conflicts, for example the ERP for payment terms and the CRM for contact persons. The rules are visible and adjustable, not a black box.

Data quality rules & validation

Mandatory fields, formats, value lists and mutual dependencies are checked on every entry and import. Existing data is periodically screened against the same rules, with quality scores per entity so you can see where attention is needed.

Stewardship workflows

Merge proposals, validation errors and change requests land as tasks with the right data steward, with a work queue, priorities and a four-eyes option for sensitive changes. Data ownership is therefore clearly assigned rather than implicit.

Version control & audit trail

The history of every record is retained: previous values, who made a change and on the basis of which rule or task. Merges can be reversed, and the audit trail demonstrates how a piece of data came about, including for an auditor or regulator.

Synchronisation with ERP, CRM and webshop

Approved changes are published via APIs, webhooks or message queues to the systems that use the field. Failed synchronisations go into a retry queue with alerting, so systems do not drift apart unnoticed.

Who we build MDM software for

We most often see master data problems where several systems have grown side by side and the same core data is maintained in different places. We set up the platform differently for each sector.

Wholesale and retail

Item data from dozens of suppliers, each in its own format, sold through shops, webshops and marketplaces. MDM software turns all of those feeds into one clean product file with consistent units, categories and supplier relationships, which feeds the till, webshop and ERP.

Industry and manufacturing

Items, bills of materials and supplier data spread across production, procurement and maintenance systems. A single reliable source prevents purchasing from ordering on outdated supplier data, or the same component being held in stock under three item numbers.

Healthcare organisations

Client, relationship and location data spread across care records, scheduling, invoicing and CRM. MDM software keeps that data consistent, with the strict authorisation and logging that privacy-sensitive care data requires, so staff no longer have to guess which system is right.

Financial services

Customer data divided across policy, mortgage or administration systems, with strict requirements for accuracy and traceability. A single customer view with an audit trail supports both day-to-day service and demonstrable compliance with regulatory obligations.

Technology and integrations

We build with a modern, maintainable web stack and integrate with the systems you already use: ERP, CRM, webshop, accounting and point-of-sale systems. The data model and matching run on a robust relational database; designing it is the same craft as our database development. Synchronisation runs via APIs, webhooks or message queues, tuned to what each system can handle, with monitoring so that discrepancies are visible immediately.

Why Appfront for your MDM software?

An MDM project is half a data question and half an organisational one. That is why we don't start with the technology, but with a thorough analysis of your system landscape, your definitions, and where ownership of the data should sit. Only once it is clear which source is authoritative for each field and who decides in the event of conflicts do we start building.

We write transparent code and clear documentation, so that your own team or a future supplier can understand and manage the platform. The matching and survivorship rules are visible and adjustable, with no vendor lock-in. You work with a fixed point of contact who understands both the technology and your data practice, which keeps lines short when choices need to be made during the build.

MDM rarely stands alone: during discovery it often becomes clear that a better data model or the replacement of an outdated core system is also needed, issues we can address together. Want to know more about our broader approach to custom software development? Get in touch.

Security and privacy in MDM software

Master data contains personal data: contact persons at customers and suppliers, and in healthcare and financial services often data on clients and policyholders. Precisely because an MDM platform brings together data from multiple sources, care is essential. We apply data minimisation and set up authorisation based on role and need, so that not everyone sees the complete customer picture.

We build in line with the GDPR and the OWASP security standards, with encryption in transit and at rest, complete logging of access and changes, and monitoring for unusual use. We support retention periods and erasure requests within the platform itself, including passing an erasure on to the connected systems. We document data flows and authorisations, so that your record of processing activities remains complete.

Want to know what this means for your situation? Discuss it without obligation via our contact form.

If your organisation records data produced by equipment or connected products, bear the European Data Act in mind: it gives the user a right to that data and requires a separation between raw measurement values and your own analyses.

  • GDPR-compliant data processing and data minimisation
  • Documented processing purpose for each data flow
  • Encryption in transit (TLS 1.2+) and at rest
  • Role-based access and least-privilege principles
  • Complete audit logging of access and changes
  • Support for retention periods and erasure requests
  • Erasures are carried through to connected systems
  • Documentation for your record of processing activities

Frequently asked questions about MDM software

Answers to the questions we are asked most often about custom master data management software.

Master data management (MDM) software manages the core data of your organisation, such as customers, products and suppliers, across all your systems. The software brings together records from ERP, CRM, webshop and other sources, matches and deduplicates them into a golden record per customer, product or supplier, and safeguards quality with validation rules and stewardship workflows. Changes are synchronised to the connected systems via APIs, so that every department works with the same reliable data.

A golden record is the single, agreed and trustworthy version of a core data entity, for example a customer who is registered slightly differently in your CRM, ERP and webshop. MDM software builds that record using survivorship rules: for each field, it is defined which source takes precedence and how conflicts are resolved. The golden record then serves as the source from which the connected systems are updated, with an audit trail of every merge and change.

Standard MDM suites are often built for large enterprises and force your data model, definitions and processes into their structure. In practice, what counts as core data, which system takes precedence for each field and how stewardship is organised differ from one organisation to another. Custom MDM software fits your own systems landscape and rules, contains only what you need and can grow as your landscape changes, without depending on a software vendor's roadmap.

The software compares records using deterministic rules, such as matching Chamber of Commerce numbers or email addresses, and fuzzy matching on fields like name and address, which recognises spelling variants and typing errors. Clear duplicates can be merged automatically according to your survivorship rules; borderline cases appear as proposals in a work queue for the data steward, who reviews them and either merges or rejects them. Every merge is recorded in the audit trail and can be reversed.

Through APIs and, where necessary, message queues or file exchange. The MDM layer reads records from the connected systems and publishes approved changes to the golden record back to the systems that consume that field. For each system and each field, it is recorded what the source is and what follows. For example, your ERP remains the authority for financial customer details, while the webshop is the authority for the online customer profile, without conflicting versions emerging.

MDM manages all core data across systems: customers, suppliers, products, locations and other entities, with an emphasis on consistency and quality between systems. A PIM system focuses specifically on product content for e-commerce, such as descriptions, specifications and imagery per sales channel. The two domains overlap: a PIM can be one of the sources or consumers of the product master data in your MDM platform. Which solution you need depends on where your problem lies.

Customer and supplier data contain personal data, and care is especially needed when merging sources. We apply data minimisation, set up authorisation based on role and necessity, and log every access and change. Retention periods and erasure requests are supported within the platform, so that a deletion also propagates to the connected systems. We document data flows and authorisations so that your record of processing activities remains complete and you can demonstrably comply with the GDPR.

Yes. We take over existing applications and integrations, even if they were built by another party. We assess the architecture, data model, matching rules, integrations and security, document the current setup and propose improvements. We can then carry out changes and new integrations, or modernise step by step towards a maintainable custom platform, without interrupting daily synchronisation with your systems.
