For manufacturers, warehouses, food, retail and pharma companies that want to print labels accurately and demonstrably.

What is label printing software?

Label printing software designs and prints labels with variable data. You build label templates in which the fixed layout and the variable fields come together, add barcodes and GS1, EAN or QR codes, and drive label printers via printer languages such as ZPL and EPL. The data comes from your ERP, WMS or order system, so product, shipping and warehouse labels with the correct article numbers, batch and serial numbers and shelf life dates reach the printer automatically, exactly when the process requires it.

The scope matters. This page is about generating and printing labels yourself within your own production or logistics process. That is something different from ordering printed matter online from a printer, with a product configurator and an ordering flow; for that, see our sister page on web-to-print software. Managing a printer fleet as such (print management) is also outside this scope. Here everything revolves around the labels themselves: designing them, filling them with data and driving them on the printer.

Off-the-shelf packages often force labelling into a rigid mould, while label types, machine parks and integrations differ greatly from one company to another. Custom software fits your actual workflow and grows with new products, customers and printers. Also read about our broader approach to custom software.

One source, every label type

Product, shipping and warehouse labels from a single template engine and data model. You manage layout and rules in one place, so a change to your house style or barcode carries through to every label immediately.

Barcodes that scan without errors

GS1-128, EAN-13, SSCC, QR and DataMatrix with automatic check digits and content validation. Codes are generated to standard, so they scan reliably on receipt and throughout the supply chain.

Straight to the printer

Native ZPL and EPL control of Zebra and other label printers, with no manual export or intermediate steps. The right printer for each workstation or label type, across multiple sites.

How we build your label printing software

We work step by step and involve your people from production, logistics and quality early in the process. From mapping your label types, machine park and integrations through to go-live and ongoing management, with the aim of software that prints accurately and that your team can maintain itself.

1
Discovery & scope

We map out your label types: product, shipping and warehouse labels, the barcodes and GS1 structures required, the printers and print locations, and the integrations with your ERP, WMS or order system. Together we determine which labels and workflows matter most.

2
Design

We design the template engine, the data model and the printer flows, along with the approach to barcode validation, batch and serial number logic, reprinting and logging. The templates match your house style and the requirements of the supply chain.

3
Build & iteration

We build in short iterations with automated tests, and test print output on your own printers and label stock. You receive working versions along the way and help set priorities and alignment with practice on the line.

4
Go-live & management

Controlled go-live with validation of templates and integrations and a safety net, followed by ongoing management, monitoring and further development as you add new products, customers or printers.

What label printing software actually does

We tailor every application specifically to your labels, machine park and integrations. Below are the features we most often deliver for manufacturers, warehouses and retailers who print labels in-house.

Label templates with variable data

A template editor that combines fixed layouts with variable fields: item name, weight, batch, best-before date, logo and barcode. Fields are filled in from the integration or entered at print time, so one template can produce an unlimited number of labels.

Barcodes and GS1, EAN and QR codes

Generation of EAN-13 and GTIN for consumer products, GS1-128 for logistics data, SSCC for pallets and cartons, and 2D codes such as QR and GS1 DataMatrix. Check digits and content are validated, so every code prints scannable.

Printer control (ZPL/EPL)

Native control of label printers via ZPL (Zebra) and EPL, and of brands such as Honeywell, SATO and TSC. The software automatically selects the right printer for each workstation or label type and works with network printers through a print spooler.

Integration with ERP, WMS and order systems

Integrations with ERP, WMS or order systems via REST, web services or file exchange. When a product is marked ready, an order is picked or a shipment is completed, the correct label is created and printed automatically.

Batch, serial numbers and shelf life

Batch, lot number, serial number and shelf life (best-before or use-by) are generated or received, processed into the variable fields and the GS1 code, and recorded with each print. This gives you a complete record for traceability and recall requests.

Reprinting and audit trail

A reprint of a damaged or lost label, with exactly the same data and a recorded reason. The software keeps a record of each print: who printed what, when, and on which printer, so you can always account for what has been printed.

Who we build label printing software for

Labelling plays a role in many sectors, each with its own label types, standards and traceability requirements. For each of these, we build software that fits their process, their equipment and the agreements with their customers and supply chain.

Manufacturers and industrial producers

Production labels generated when a batch is marked ready at the line, with item number, batch, serial number and a GS1 barcode. The software integrates with ERP and MES and prints the right label at the right workstation. See also automating logistics processes.

Warehousing, logistics and e-fulfilment

Shipping and carton labels, location and pallet labels with SSCC, and order labels for picking and packing. The software controls printers in the warehouse from your WMS or order system, so every parcel and pallet leaves with the correct labelling.

Food, fresh produce and retail

Fresh-produce labels showing weight, price, ingredients and allergens, with shelf-life dates that follow recipes and processes. We set up food information in line with Regulation (EU) No 1169/2011, with EAN and GS1 codes for shelf and till.

Pharma and life sciences

Labels with stringent traceability and serialisation requirements. We support unique identification in a 2D GS1 DataMatrix and watertight recording of every print, so that batch, serial number and shelf life are demonstrably correct and provenance can always be traced.

Technology and integrations

We build with a modern, maintainable web stack and drive label printers natively. For label printing, the most relevant aspects are ZPL and EPL printer control, GS1-compliant barcodes and an integration with your logistics and production processes, so that data and printing work as one. We set up every integration so that item, order and batch data reach the labels automatically and reliably.

Why choose Appfront for your label printing software?

Appfront builds custom software for manufacturing and logistics, and always starts with a thorough analysis of your label types, machine park and integrations. Labelling software must not only be technically sound but also work flawlessly on the line and in the warehouse, where there is no time for faltering prints.

We test print results on your own printers and label stock, and write clear documentation so that your team or a future supplier can understand and manage the templates and integrations. No black box, but transparent code and clear agreements on templates, barcode structures, logging and maintenance.

You work with a fixed point of contact who understands both the technology and the practicalities of labelling. This keeps lines of communication short and speeds up decisions during the build.

Data quality, security and privacy

In label printing, reliability comes down to data quality and traceability. A wrong check digit, a truncated batch number or an unreadable code leads to rejects further down the chain. That is why we validate the content of every barcode, check the variable fields against the source, and record who printed what, when and on which printer. We manage templates with version control and approval, so only released labels reach production.

Shipping labels often contain personal data such as names and addresses. We process these in line with the GDPR, with role-based access, encryption in transit and at rest, and logging of access and changes. We set up access to templates and print jobs based on role and need, and we monitor integrations so that disruptions are visible promptly.

Frequently asked questions about label printing software

Answers to the questions we are asked most often about custom software for printing labels and barcodes.

Label printing software designs and prints labels with variable data. You build label templates that combine fixed layout with variable fields, add barcodes and GS1, EAN or QR codes, and then drive label printers using printer languages such as ZPL and EPL. The software pulls data from your ERP, WMS or order system, so product, shipping and warehouse labels reach the printer automatically with the correct item numbers, batch and serial numbers and best-before dates. Custom software lets you set this up around the way your production or logistics process actually works, rather than forcing you to adapt your workflow to an off-the-shelf package.

Label printing software is about generating and printing labels within your own process: variable data, barcodes and direct printer control on the line, in the warehouse or at the packing station. Web-to-print, by contrast, is about ordering and having print runs produced online by a printer, with a product configurator and an ordering flow. That is a different question. If you are looking for an ordering portal for printed matter, see our sister page on web-to-print software. Managing a fleet of printers yourself (print management) is also outside the scope here; this page focuses on printing and generating the labels.

We support the common standards for production and logistics: EAN-13 and GTIN for consumer products, GS1-128 (the successor to EAN-128) for logistics data such as batch, best-before date and serial number, SSCC for identifying pallets and cartons, and 2D codes such as QR and GS1 DataMatrix. The software calculates check digits and validates the content, so the generated codes are correct and scannable. We align the GS1 structures used with your situation and verify them against the current GS1 specifications.

Yes. We drive label printers natively through their own printer languages, mainly ZPL (Zebra) and EPL, so a label is printed exactly and quickly on the correct printer without manual intermediate steps. Besides Zebra, we work with printers from manufacturers such as Honeywell, SATO, TSC and Brother. The software can control multiple printers and print locations, select the right printer for each workstation or label type, and handle network printers via a print spooler. This way every workstation prints the labels it needs.

Yes, that is usually the heart of the solution. We integrate with your ERP, WMS or order system via REST APIs, web services or file exchange, so that item data, orders, batches and serial numbers reach the labels automatically. When finished product is reported, an order is picked or a shipment is completed, the corresponding label is created and printed. We work with integrations to systems such as SAP, Exact, AFAS and Microsoft Dynamics, and with the WMS and order systems you already use.

Batch, lot number, serial number and shelf life (best-before or use-by date) are the core of traceability. The software generates or receives these values, includes them in the variable fields and in the GS1-128 or DataMatrix code, and records which label was printed with which data for each print. This gives you a watertight record for recall and provenance enquiries. For food, we configure the shelf-life logic and the mandatory food information to match your own recipes and processes, and for pharma we support serialisation with a unique identifier in a 2D DataMatrix.

We build custom software. Labelling differs greatly from one business to another: in label types, machine park, integrations and the point in the process where printing takes place. Custom software fits your actual production or logistics flow and can grow with you as you add new items, customers or printers. After an intake meeting, we decide together which label types and integrations matter most and in what order to develop them, without promising a fixed timeline or price that we cannot yet substantiate.

Yes. We regularly take over existing applications, including those built by another party or stuck on outdated templates and integrations. We review the architecture, printer integration, template engine and logging, document the current setup and propose improvements. From there we can look after templates, integrations and monitoring, or modernise step by step towards a maintainable setup.
