What is legal workflow automation?

Security and privacy in your case management system

Legal case files contain personal data, often including special categories, and in many cases a duty of confidentiality applies. Appfront builds to the OWASP ASVS with the GDPR as a starting point, with role-based access and an audit trail recording every time a case file is viewed.

Protection within the organisation matters more here than usual: not every member of staff should be able to view every case, not even out of curiosity. We set up access per case type and per role, and apply retention periods per file type so that files do not remain indefinitely.

Usually not. If you already have a case or document system that works for you, we build the process layer around it and integrate with it. That is less disruptive and addresses the real bottleneck, which is rarely storing documents.

Yes, that is the core of it. For each case type you define which deadlines apply, whether they are statutory or internal, when they start and what happens if they are exceeded. We can also model suspension and extension, as these occur constantly in practice.

By modelling the process as it actually runs, including the exceptions. A system that only knows the ideal path forces people to work around it. We therefore account for deviations early on: the case that is transferred, the case that stalls, the case that is in fact not a case at all.

Yes, and that is usually the most valuable insight. Processing time per step and per case type shows where things structurally stand still. It is often not where people expect: not in the substantive handling but in an intermediate step where someone is waiting for a response.

Yes, and monitoring is the most important part there. The system calculates the deadline from the moment you record it, takes suspension into account and warns well before it expires. For accountability afterwards, it provides the figures on how many cases were completed within the deadline.
