Security and privacy in HR case management software
HR cases contain personal data and sometimes special category data. In sickness absence cases, moreover, an employer may not process the nature of a complaint or a diagnosis; only the occupational health physician may. We build that boundary into the data model, so that an HR adviser cannot record that information even if they wanted to.
Reports of undesirable conduct or integrity concerns get a separate circle of access, their own retention period and logging on every access. For reports falling under the Dutch Whistleblower Protection Act, we make the confidentiality of the reporter's identity a hard requirement, in line with the GDPR.

For routine enquiries, yes, that works well. It breaks down with confidential matters: sickness absence, conflicts, undesirable behaviour and integrity reports should not sit in the same queue or under the same access rights as a question about a fuel card. Generic systems handle this with a tick box; we separate the streams at the level of the data model and authorisation.
When an employee reports sick, an employer may record the report and the expected duration, but not the nature of the complaint or the diagnosis. That information belongs with the occupational health physician. We build that boundary into the data model, so there is no field where a well-meaning adviser could still enter a diagnosis, and we refer substantive recording to the occupational health service.
