Why standard LMS software does not meet compliance requirements

Generic learning management systems are designed for knowledge transfer, not for legal evidence. In regulated sectors, a training is not only a learning objective but also a legal document. GxP / GDP / GMP

Pharmaceutical industry

Pharmaceutical companies operate under Good Manufacturing Practice (GMP), Good Distribution Practice (GDP) and Good Laboratory Practice (GLP). Every employee in production, quality control and distribution must be trained and requalified periodically. The platform records training in line with 21 CFR Part 11, with electronic signatures and a full audit trail, so that IGJ inspections and FDA audits proceed smoothly.

Wwft / MiFID II

Financial services

Banks, insurers and investment firms are bound by the Dutch Anti-Money Laundering and Anti-Terrorist Financing Act (Wwft), MiFID II and Solvency II. Staff in client-facing roles must demonstrably be trained in customer due diligence, transaction monitoring and sanctions regulations. HACCP / BRC / IFS

Food industry

Food producers and processors work under HACCP standards and are certified through BRC or IFS. Transport and logistics

In transport, ADR certification (carriage of dangerous goods), driver qualifications (Code 95) and first aid and fire safety training are mandatory. For companies with large vehicle fleets, tracking expiry dates by hand quickly becomes unworkable. Seveso / BRZO

Energy and chemicals

Companies falling under the Seveso Directive (in the Netherlands: BRZO) must demonstrate that employees have been trained in process safety, emergency procedures and risk management. Training is directly tied to permit conditions and is checked by the regional environmental authority. The platform links training records to roles and installation units in line with the IQ/OQ/PQ qualification structure.

Core modules of a compliance training platform

Training catalogue and assignment

A central library of training courses, e-learning modules and assessments. Assignment is based on role, department, location and regulatory framework. When a role changes in the HR system, the training path is automatically adjusted via the API integration. Every training has version control: if the material changes following a legislative update, the old version is archived and the employees concerned are reassigned.

Automatic recertification

A rules-based engine that tracks when certifications expire and automatically initiates the recertification process. Configurable by regulation: first aid and fire safety every two years, Wwft updates when legislation changes, GxP requalifications at fixed intervals. The system sends reminders to the employee and escalations to the line manager and compliance officer. Expired certifications are immediately visible in the competence matrix.

Assessments and knowledge validation

A configurable assessment module with multiple question types, pass mark calculation and randomisation. After passing an assessment, the employee receives a certificate with a unique reference. If the result is insufficient, a retake path is automatically activated. Assessment questions are linked to specific regulatory articles, so that during an inspection you can see immediately which areas of knowledge have been validated.

Audit-ready reporting

A reporting module that generates inspection-ready overviews at any time, by employee, department, regulation or location. Which training was completed, by whom, when, with what result, and based on which version of the material. Reports meet the requirements of the Health and Youth Care Inspectorate (IGJ), the Netherlands Authority for Financial Markets (AFM), the Netherlands Food and Consumer Product Safety Authority (NVWA) and regional environmental services. Export to PDF with a digital signature for archiving.

Digital signatures and evidence

Electronic signatures compliant with 21 CFR Part 11 and eIDAS standards. Employees confirm completion of training material and passing of assessments with a digital signature. The system records the time, IP address, authentication method used and material version as irrefutable evidence. Important for sectors where signatures carry legal weight during inspections.

Integration with HR and ERP

Real-time integration with your HR system (SAP SuccessFactors, Workday, AFAS, Personio) and ERP (SAP, Exact, Microsoft Dynamics). New employees are automatically assigned their mandatory training path based on role and location. On leaving, records are archived in line with retention periods. The integration works bidirectionally: the compliance platform writes qualification statuses back to the HR system.

How does automatic recertification work? +

For each training or certification, you configure the validity period and the renewal rules. The system automatically monitors all expiry dates, sends reminders to employees and managers, and activates the recertification pathway at the right moment. When legislation changes, you can force a reassessment for all employees falling under that regulation. The competence matrix gives real-time insight into which certifications are close to expiry.

Does the platform comply with GDPR requirements? +

The platform is designed with privacy by design. Data is processed and stored within the EU (Dutch or German data centres), encrypted with AES-256, and accessible only to authorised users via RBAC. Retention periods are configured per data set in line with your records of processing activities. When an employee leaves, personal data is anonymised or deleted in accordance with the configured retention rules, while training records remain archived for inspection purposes.

How long does it take to develop a compliance training platform? +

The timeline depends on complexity: the number of regulatory frameworks, the number of integrations, and whether formal validation (IQ/OQ) is required. A first working version with core functionality can usually be operational within a few months. For GxP environments requiring formal validation, you should allow for a longer timeline due to documentation and testing requirements.
